POSITION: Branch Manager Trainee

Job Description
- Duty Station: Twifo Praso.
PURPOSE
The Branch Manager Trainee will be in charge of ensuring the branch/service point’s records, cash, and bank transactions run smoothly.
Major Responsibilities
Group related:
- After an initial assessment of the survey list of possible microfinance program borrowers, arrange for group entry.
- Announce the official creation of groups via the orientation program.
- Allow 15-30 potential borrowers to join per group.
- Ensure that daily instalments are collected according to the collection schedule.
- Oversee at least two group meetings each day and reconcile passbooks.
- After 6 months, 100% of members’ passbooks should be reconciled with the collection sheet and signed in the passbook.
Target Plan-related:
- Prepare a targeted strategy for the branch at the start of the year (groups, members, borrower disbursement, overdue, etc.).
- Create a yearlong target plan with monthly breakdowns for credit officers.
- Monitor the operation in compliance with the objective plan.
Accounts Related:
- Prepare weekly cash requisitions for loan disbursements and other expenses.
- Ensure funds from the bank for financial expenditures according to the daily request.
- Check and sign the cash ledger, bank ledger, DCR, cashbook, cash certificate, and any bill vouchers following verification at the end of the day.
- Report any abnormalities in cash management.
Administrative:
- Streamline employee leave, transfers, and other processes.
- Take the appropriate precautions to preserve DCR, cash ledger, loan-related key papers, circulars, monthly meeting minutes, bill vouchers, collection sheets, passbooks, certificates, attendance registers, leave application forms, leave registers, movement registers, and so on.
- Maintain and keep office furnishings, stationery, and other fixed assets tidy and clean.
- Create an enabling environment for all employees working in an office.
- Maintain good contacts with local administration.
- Ensure a broad supervisory role for all program/project transitions and branch staff.
- Provide better and faster service to external stakeholders (e.g., neighbours, government, other organizations, etc.).
- Maintain staff office attendance as per BRAC policies.
Staff Development:
- Conduct a one-hour weekly staff meeting every Friday to discuss aims and successes, among other things.
- Identify performing and non-performing Credit Officers and guide them accordingly.
- Listen to the staff’s challenges and help resolve them.
- Enhance staff capability through mentoring, coaching, and counseling.
Client satisfaction and outcome management
- Ensure that COs and other MF workers follow the code of conduct for microfinance staff.
- Strive to give the highest quality service to clients, both on the field and at the branch office.
- Follow up on clients’ complaints, problems, and comments attentively, taking appropriate measures and recommending adjustments.
- Review the poverty profile and geographic targeting of customers to ensure that they are compatible with BRAC’s purpose.
- Review client-level result data periodically and recommend action options.
Reporting:
- Prepare the daily, weekly, and monthly reports required by management on time.
- Analyze monthly trends and daily performance data for credit officers.
- Deliver monitoring and audit reports on time.
- Maintain and update the risk registry and submit it to the area manager.
- Ensure an objective allocation of 12–15 groups per Credit Officer for MF and 15 groups for the AGF program.
Required Skill or Experience
EXPERIENCE (Including Sector/Industry)
- Cash and bank transactions.
- Prepare cash requisitions, cash certificates, and bank reconciliation statements.
- Knowledge of the applications Microsoft Word and Microsoft Excel.
- Experience: At least three years of experience working in a similar position.
Knowledge, Skills, and Competencies
- Computer expertise of MS World, MS Excel, and the Internet
- Effective communication abilities. Writing and reporting skills in English.
SPECIFIC EDUCATION/PROFESSIONAL QUALIFICATION
- Degree: A bachelor’s degree with a concentration in Business Administration, Banking and Finance, Accounting, or a similar program.
- Concentration or Major: Business Administration, Banking and Finance, Accounting, etc.
PROFESSIONAL DEGREE/CERTIFICATION
- Professional qualification in the field is beneficial.
