POSITION: Administrative Officer
Job Description
The International Water Management Institute (IWMI), a CGIAR Research Center, is looking for a multi-skilled Administrative Officer to join their office in Accra, Ghana.
The Administrative Officer will work with IWMI’s team to help deliver several initiatives at the West Africa office. The incumbent will help to ensure the success of IWMI’s West Africa project portfolio by providing administrative and financial support to personnel and partners. The Officer will ensure that IWMI policies, methods, and processes are upheld to the highest levels and under donor requirements. The selected applicant will also proactively design administrative procedures, maintain records and file systems, efficiently manage client, partner, and visitor contacts, and coordinate activities at the IWMI West Africa office.
DUTIES AND RESPONSIBILITIES:
- Oversee the purchase of airplane tickets for all staff and IWMI partners under the IWMI Procurement Policy Guidelines.
- Facilitate smooth travel and logistics for special events including workshops, meetings, and seminars.
- Prepare purchase requisitions and purchase orders to ensure timely procurement of products and services.
- Create an annual report outlining all flight tickets purchased, including lessons learned and suggestions for future improvements.
- Support the IWMI West Africa office in managing project activities, such as recommending and executing rules and processes, as well as building and maintaining record and filing systems.
- Plan workshops, conferences, and other events.
- Assist other support workers in ensuring that research teams have enough administrative support.
- Support procurement operations and processes, such as sourcing, purchasing, and vendor management, under IWMI procurement policy requirements.
- Manage assets (fixed and moveable) by keeping accurate records and tracking of all assets, conducting periodic reviews of asset functionality and usage, and preparing review reports. Ensure that all office, scientific, and vehicular equipment is properly maintained and functional. Handle old equipment in conformity with IWMI policies.
- Complete any associated responsibilities assigned by IWMI West Africa management.
EDUCATIONAL QUALIFICATIONS AND EXPERIENCE:
- Bachelor’s degree in business management, business administration, or a comparable field.
- A minimum of four years of relevant experience in administration and logistical management, especially in government or international organizations, with increasing levels of responsibility.
- Proven experience in acquiring products and services, particularly aircraft tickets.
Knowledge, Skills, and Abilities:
- Proficient in administration, management, and procurement operations.
- Excellent knowledge and comprehension of procurement policy and systems.
- Sound problem-solving skills, as well as the capacity to show sound judgment, proactivity, adaptability, and flexibility.
- Ability to provide outstanding service while maintaining a professional and respectable demeanour.
- Excellent organizational abilities, including the ability to prioritize and multitask.
- Strong interpersonal skills are required, as is the ability to build and maintain effective working relationships with individuals and teams in a multicultural and multidisciplinary setting, while displaying sensitivity and respect for difference.
- Familiarity with the Windows operating system, as well as skill in Microsoft Office, including Outlook, Word, and Excel.
- Excellent oral and written English language skills, including active listening and strong verbal and written communication ability.
Benefits
This is a nationally recruited position, hence only Ghanaians will be considered. IWMI provides a competitive wage and benefits package that includes health insurance, life insurance, accidental death and dismemberment (AD&D) insurance, and long-term disability coverage. The contract will initially last three years, with the possibility of an extension.
