POSITION: Customer Service Officer (Regional/Area Office)

Company Overview 

BRAC Ghana Savings and Loans Ltd (BGSL) is a socially responsible for-profit entity that involves individuals, particularly women, in sustainable economic and income-producing initiatives in Ghana. Our goal is to responsibly offer various financial services to individuals at the base of the economic pyramid. BGSL belongs to BRAC International Holdings B.V (BIHBV), which functions in seven nations throughout Africa and Asia.

Purpose of the Job 

Primary contact for clients and assist with all other administrative tasks.

KEY DUTIES

Front Desk Duties 

  • Serve as the initial contact for all clients and personal visitors to the Office, verifying appointment times with the appropriate team member and taking necessary actions.
  • Answer incoming phone calls and either direct them to the appropriate staff member or take suitable action.
  • Handle information by establishing and refreshing clients’ loan and deposit requests and accounts.
  • Act as the substitute officer for customer service representatives throughout the region/area.

Controls 

  • Handle the loan appraisal document and the client dossier prior to the loan committee meeting, loan disbursement, and following the signatures of the Branch Manager and the clients.
  • Oversee the contract signing process between clients and BRAC Ghana.
  • Verify that all documents are finalized and prepared for the loan committee.
  • Make certain that all documents produced during branch operational activities are appropriately filed according to the established policy and procedure.
  • Disseminate knowledge and effective strategies with fellow branch personnel.
  • Notify the direct supervisor of any problems concerning the job.
  • Utilize the analysis and control tools for reporting.
  • Regular tracking of employee attendance, movement logs, and delivering the attendance book to the HR/Finance Departments for documentation.

Commercial Duties 

  • Greet and inform clients and prospective clients at the branch.
  • Establish accounts for new clients.
  • Arrange meetings held in the branch for prospective clients.
  • Engage in joint prospecting and various commercial tasks in the market regions alongside the client officers.
  • Interact with clients in a way that enhances BRAC Ghana’s reputation.
  • Engage in on-site promotion of BRAC Ghana products and services.
  • Participate actively in branch deposit activities.
  • Determine client requirements and suggest new offerings to management.
  • Engage in the marketing of new products and services to clients.

Administrative Duties 

  • Coordinate schedules for loan committee meetings, client officer planning sessions, etc.
  • Guarantee that branch documents are organized properly in line with BRAC Ghana’s guidelines.
  • Handle information by initiating loans and deposit accounts for customers.
  • Develop and uphold a positive and transparent working relationship with fellow branch personnel.
  • Support in the development and guidance of both new and current employees.

Miscellaneous

  • Attend the staff meetings held weekly.
  • Create reports on a daily, weekly, and monthly basis.
  • Adhere to the Human Resources Policies and Procedures of BRAC.
  • Effectively carry out additional tasks assigned by senior management.
  • Consistently follow the Code of Conduct for Microfinance employees and show clients respect.
  • Aim to deliver the highest quality service to clients both in the field and at the branch office.
  • Pay close attention to clients’ complaints, concerns, and opinions, and take suitable actions.

Safeguarding Responsibilities 

  • Instill a culture of safeguarding throughout all tiers of the program by executing the safeguarding policy.
  • Serve as a primary resource for assistance, direction, and knowledge on safeguarding to create a secure workplace.
  • Accountable for ensuring team members receive proper training, support, and access to resources related to identified issues, all in line with the safeguarding policy and procedure.
  • Adhere to the safeguarding reporting protocol if any reportable event occurs, and urge others to do likewise.

Necessary Skills or Experience

EXPERIENCE (Covering sector/industry) 

  • Understanding of customer service experience
  • Front desk functions
  • Proficiency in using Microsoft Word and Microsoft Excel.
  • Experience: Minimum of one year of experience in Microfinance or a financial institution.

KNOWLEDGE, SKILLS & COMPETENCIES

  • Familiarity with MS Word, MS Excel
  • Proficient abilities in communication. English writing and reporting abilities

SPECIFIC EDUCATIONAL/PROFESSIONAL QUALIFICATION

  • Degree
  • Concentration/Major: Associated field
