Position: FINANCE & PROCUREMENT OFFICER

Role Description
We are looking for an experienced, highly talented, and driven professional to join our dynamic team as a Finance and Procurement Officer. This is a full-time on-site position for a Finance & Procurement Officer in Dzorwulu in the Head Office, reporting to the Finance Manager. The Finance & Procurement Officer will be responsible for managing procurement and finance operations, as well as ensuring record accuracy and business policy compliance. The ideal applicant will have extensive experience in accounting, financial reporting, and procurement, as well as the ability to manage complicated financial transactions and provide useful decision-making insights.
Detailed Job Description
Vendor Management:
- Identify and assess vendors based on quality, pricing, and service standards.
- Monitor supplier performance and handle issues with quality, delivery, and pricing.
Procurement Process:
- Source and acquire commodities, materials, and services in accordance with corporate policies.
- Prepare, authorize, and process purchase orders in compliance with business policies.
- Ensure timely delivery of goods and services to fulfill operating needs.
Negotiation:
- Review and analyze contract conditions to ensure they align with business policy.
- Negotiate contracts and pricing to maximize cost savings and value.
Budget Management:
- Ensure procurement activities are within budget and report any variances.
- Assist with budgeting and forecasting for future demands.
- Prepare a variance analysis report with financial insights to inform decision-making.
Compliance and Reporting:
- Ensure all procurement activities follow legal, regulatory, and internal norms.
- Maintain compliance with financial legislation and internal policies.
- Maintain accurate financial records and verify documentation meets statutory criteria.
- Provide management with quarterly reports on procurement efforts.
- Assist in internal and external audits.
Inventory Management and Continuous Improvement:
- Maintain proper inventory levels to prevent stock outs and overstocking.
- Identify ways to reduce costs, improve efficiency, and procedures, and increase income.
Account Management:
- Manage accounts payable and receivable to ensure timely payment and collection.
- Reconcile bank and general ledger balances.
- Monitor and manage cash flow to guarantee adequate finances for daily operations.
Relationship Management:
- Build ties with essential suppliers to ensure constant supply.
- Communicate with banks, auditors, tax authorities, and other external stakeholders as needed.
- Offer financial advice and help to other departments in the organization.
Qualifications & Experience
- Bachelor’s degree in supply chain management, business administration, or a similar discipline.
- A minimum of three (3) years of work experience.
- Professional qualification is a plus.
- Excellent negotiation, communication, and interpersonal skills.
- Outstanding analytical abilities with an emphasis on cost-cutting, efficiency, and problem-solving.
- Strong understanding of accounting principles with high ethical standards and honesty.
- High attention to detail and accuracy in financial reporting and analysis, with a dedication to transparency.
- Proficient in the use of QuickBooks ERP and Microsoft Office Suite, particularly Excel.
- Ability to handle personal information discreetly.
- Ability to operate in a team, under pressure, and to rigorous deadlines.
