Job Description.
CrossBoundary Energy is looking for an Office Manager to support our Ghana office operations. This is an in-office position that will entail managing our local office in Ghana, ensuring seamless day-to-day office procedures, liaising with vendors and landlords, and supervising the resolution of any facilities concerns at the team’s existing coworking space.
This person will also be responsible for corporate administrative tasks such as delivering certified documents and coordinating correspondence with CrossBoundary Energy, authorities, and relevant industry associations. The ideal applicant should have strong oral and writing communication skills, be able to collaborate both electronically and in person, and be skilled at organizing their work with software tools like Microsoft Excel. The Office Manager will report to both the Regional Admin Manager and the local Head of Office.

Required Qualifications
- Proven job experience as an Administrative Officer, Administrator, or comparable roles.
- Proven ability to work in a fast-paced atmosphere while remaining calm under pressure.
- Strong knowledge of best-practice office management techniques.
- Proficiency with Microsoft Office applications and strong organizational skills.
- Excellent written and verbal communication abilities.
- Strong attention to detail, autonomous problem-solving ability, and excellent time management abilities.
Primary responsibilities
- Oversee daily operations of CrossBoundary Energy’s local office in Accra.
- Actively manage office space, detecting potential problems with people or facilities before they become problematic.
- Represent the company in correspondence with the Energy Commission and other local regulatory agencies, to guarantee ongoing compliance with local legislation. Has a bias for action; comfortable working with little guidance to meet staff needs within budget.
- Maintains inventory of office supplies and places replenishment orders.
- Oversees the reliable operation of power, water, internet, and other utility services.
- Troubleshooting the operation of shared office equipment, such as conferencing devices or printers.
- Serves as the point of contact for administrative communications and ensures that all inquiries – email, phone, and in person – are responded to quickly; routes essential information to the right persons.
- Oversees facility services, maintenance activities, and tradespeople (e.g., electricians, contractors, cleaners), along with coworking space management if needed.
- Develops and oversees relationships with local suppliers and vendors.
- Organizes the logistics for office social activities and events.
- Delivers and stores incoming letters, emails, and parcels.
- Offers general support to guests.
- Maintains physical and electronic filing systems for secret firm records, as directed.
- Implements office policies on health and safety, IT, and security, updating as necessary for the local environment.
- Other administrative duties as allocated by the Head of Office.
