POSITION: Senior Customer Service Officer / Customer Service Manager

The Function:

This position will be essential to the operation of our front desk and overall patient experience. This position, reporting directly to the Executive Director, integrates leadership, operational management, and active problem-solving to guarantee that patients experience the utmost quality of service from the moment they enter our facility until they obtain their reports. The perfect candidate is a guide, inspirer, and advocate for service who establishes the standard for professionalism within the team. This role is essential in maintaining DCL’s status as Ghana’s leading diagnostic provider while advancing our growth and innovation initiatives.

Responsibilities & Tasks:

  • Front Desk Management: Supervise all front desk functions to guarantee smooth, patient-oriented service provision each day.
  • Team Management: Oversee, instruct, and guide Customer Service Officers and Patient Officers, promoting a culture of professionalism, compassion, and productivity.
  • Customer Experience: Address escalated patient issues, swiftly resolve problems, and guarantee that feedback is implemented to consistently enhance service quality.
  • Data & Records Management: Guarantee precise input of patient data in BesaDx software, encompassing insurance claims, referral documents, and medical records.
  • Confidential Reporting: Oversee the safe, prompt distribution of patient reports while adhering to privacy regulations.
  • Process Compliance: Ensure the front desk team follows DCL policies, service standards, and ethical guidelines.
  • Application of Medical Knowledge: Utilize a solid grasp of medical language, imaging techniques, and lab services to offer precise assistance to patients.

Requirements

  • At least 5–7 years of customer service experience, including a minimum of 3 years in a senior or managerial position.
  • Demonstrated abilities in leadership and team-building.
  • Effective written and spoken communication skills, capable of training, mentoring, and inspiring employees.
  • Outstanding skills in resolving conflicts, making decisions, and solving problems.
  • Expertise in medical management software and processing of patient files, referrals, and insurance claims.
  • Proficient administrative abilities, featuring rapid typing speed and precision.
  • Knowledge of medical terms and diagnostic processes (laboratory and imaging).
  • Capability to operate autonomously, demonstrate proactivity, and raise concerns suitably when necessary.
  • A cooperative team member who consistently assists and guides less experienced coworkers.
