POSITION: Administrative & Logistics Officer 

Company Summary

BRAC Ghana Savings and Loans Ltd (BGSL) is a socially responsible for-profit entity that involves individuals, particularly women, in sustainable economic and income-generating endeavours in Ghana. Our objective is to responsibly offer a variety of financial services to individuals at the bottom of the pyramid. BGSL is a segment of BRAC International Holdings B.V. (BIHBV), functioning in seven nations throughout Africa and Asia.

Position Overview

  • Location of duty: Ashanti Region
  • To carry out duties and offer assistance in every activity associated with the position.

KEY DUTIES

Administrative Assistance

  • Execute administrative duties like filing, copying, faxing documents, scanning, and sorting requests, receipts, and various papers.
  • Tasked with managing the contents and ensuring supplies under the guidance of the Admin and Procurement Manager.
  • Enable requests from branches/service points to the head office and the other way around.
  • Obtain, record, and distribute supplies to the appropriate branches/service locations.
  • Create reports and reminders, manage files, draft correspondence and presentations, and oversee office facilities, assisting the Admin and Procurement Manager.
  • Record data into accessible systems; observe and oversee the status and/or outcome of inquiries, activities, files, documents, programs, etc. This encompasses but is not restricted to establishing and managing a reminder system for follow-up files tied to procurement requests and various duties. Notify supervisor about overdue items.
  • Engage in the creation and execution of new or updated work procedures, routines, or processes.
  • Assistance in organizing travel logistics for supplies
  • Revise and follow revised policies and circulars to align with work processes accordingly.
  • Any additional tasks assigned

Support for Logistics/Projects

  • Assistance in finding appropriate locations or office buildings in new areas for BGSL’s establishment.
  • Conduct evaluations of facilities and communities to support BGSL’s growth.
  • Consistently inspect and offer on-site oversight and assistance for facilities being (re)built.
  • Offer knowledgeable, prompt, and practical advice and assessments.
  • Assist in identifying and evaluating appropriate service providers/vendors for collaboration with BGSL.
  • In conjunction with established policies, guarantee adherence to processes, procedures, and optimal practices associated with project operations.
  • Ensure accurate and current information about projects and project participants is maintained.
  • Assist the Admin Manager in guaranteeing that project management standards and accountability are upheld.
  • Any additional responsibilities assigned

Safeguarding Responsibilities

  • Create a culture of protection at every level of the program through the application of the safeguarding policy.
  • Serve as a primary source of assistance, direction, and knowledge on safeguarding to create a secure workplace.
  • Accountable for guaranteeing that team members receive adequate training, support, and access to resources on issues that are recognized and addressed in line with the safeguarding policy and procedure.
  • Adhere to the safeguarding reporting process if any reportable incident occurs and motivate others to do the same.

Required Qualification or Experience

SPECIFIC ACADEMIC/PROFESSIONAL CREDENTIALS

  • At least a Bachelor’s Degree or a Master’s Degree.
  • Concentration / Major: Business administration, Business Management, Logistics and Supply Chain Management, along with Project Management
  • BACKGROUND (Including sector/industry)
  • At least 2 years of experience in a comparable position.
  • Previous experience in a financial setting is beneficial.

UNDERSTANDING, ABILITIES & CAPABILITIES

  • Extremely proficient in handling sensitive information with discretion.
  • The capability to meet deadlines and arrange tasks systematically.
  • Must be mathematically precise with great attention to detail.
  • Strong administrative and organizational abilities, encompassing prioritization and adherence to deadlines.
  • Outstanding verbal, written, and culturally aware communication abilities.
  • Capability to acquire precise, prompt information.
  • Innovation and proactivity in discovering different methods to address issues.
  • Proficient in computers, possessing comprehensive expertise in Microsoft Excel, and a proficient understanding of Microsoft Word.
