About the Lead Poisoning Prevention Program:
Vital Strategies is broadening our initiative that tackles the problem of lead poisoning in low- and middle-income nations. We aim to enhance current initiatives and interest by partnering with government agencies in African, Asian, and Latin American countries to reinforce health systems and develop local expertise regarding childhood lead exposure to implement effective, economical policies to mitigate risks.
Purpose of the Position:
The role of Program Associate for the Lead Poisoning Prevention Program in Ghana is a new role at Vital Strategies. The Program Associate will provide operational, administrative, and logistical assistance to the Program Manager, which includes helping with the procurement and contracting of goods and services, organizing meetings and managing calendars, coordinating travel and logistics, and planning events, among additional responsibilities. This position requires collaboration with the program team, government representatives (when necessary for operations), and field monitoring teams.
Tasks and Obligations:
Program Management
- Support the program team with operations and procurement, such as choosing venues, organizing logistics for meetings and events, and confirming all required preparations are made;
- Help coordinate participant invites, oversee attendance records, and prepare meeting documents to guarantee seamless execution;
- Manage communication with stakeholders, print materials, and organize travel and logistics (hotel reservations, transportation, and reimbursements) for face-to-face meetings, training sessions, and workshops.
Administrative Assistance
- Offer administrative assistance to the program team, such as handling communications and organizing procurement requests in accordance with organizational guidelines;
- Aid in organizing the procurement and distribution of supplies, equipment, and training resources for the field;
- Compose correspondence autonomously or according to guidelines and forward as necessary, highlighting urgent issues to the supervisor.
Monetary Coordination
- Manage the handling of invoices for program team members and vendors, collaborating closely with the finance and operations departments;
- Monitor invoice submissions, communicate with finance and accounting, and resolve any inquiries or problems concerning payments;
- Gather documentation for financial transactions and handle purchase order processing;
- Offer administrative assistance to project team members for prompt reimbursements and payments.
Stakeholder Collaboration
- Oversee travel logistics for the group, including managing modifications or cancellations of travel itineraries;
- Help coordinate with vendors, government bodies, and field teams to maintain seamless operations.
Documentation
- Keep comprehensive program records and documentation, verifying that all records are precise and current
- Assist the team by proposing administrative enhancements that align with program standards.
- Perform data entry as required to aid in program activities, reporting, monitoring, and assessment;
- Help with extra duties as directed by the supervisor to enhance overall program efficiency.
Requirements
Education
- A degree at the undergraduate level in a relevant area is mandatory.
Capabilities & Competencies
- Robust organizational and time management abilities to oversee program activities, logistics, and documentation;
- Exceptional written and spoken communication abilities for professional interaction with government representatives, program collaborators, and suppliers. Expert oral and written command of the native language. Proficiency in English. The skill to independently compose formal correspondence is an advantage;
- Outstanding attention to detail to guarantee precision in records, financial transactions, and logistical planning;
- Skillful in Microsoft Office Suite (Word, Excel, PowerPoint)
Experience:
Required
- At least three years of professional experience; involvement in public health, public policy, international development, and/or non-profit sectors;
- Proficient in tracking and processing invoices, which encompasses processing invoices, monitoring payments, and overseeing purchase orders.
- Capability to support budget management and procurement organization for program initiatives.
Desired
- A minimum of 1 year of professional experience with the government;
- Skilled in collaborating and working remotely with both internal and external teams to deliver timely administrative assistance;
- Familiarity with tools like DocuSign, CLM, NetSuite, Monday, Airtable, and Slack is an advantage.
- The capability to independently compose formal correspondence is an advantage.
Employment Environment and Physical Demands:
This is a full-time role that can be performed remotely from Accra, Ghana. This Job Announcement is available for Ghanaian Nationals and individuals with a valid work residence permit for Ghana.
- The chosen applicant will be employed by Vital’s Employer of Record.
- Open to travelling for face-to-face meetings and site visits in Ghana as required, and occasionally travelling abroad to participate in meetings.
