Logistics Assistant at World Food Programme
The office of the United Nations World Food Programme invites applications from suitable candidates to fill the vacancy below:
- Job Title: Logistics Assistant
- Duty Station: Tamale
JOB PURPOSE:
Under the direct supervision of the Procurement Associate at the Sub Office, with technical guidance from the Procurement Officer at the Head Office; and the overall supervision of the Head of Sub-Office, the incumbent will perform the following duties;
MAJOR DUTIES AND RESPONSIBILITIES
- Perform administrative logistics and procurement activities in a timely and efficient manner support unit in the acquisition of food, goods and services.
- Compile data, prepare and distribute documents to support successful procurement and operational activities, (e.g. issue tenders, evaluate offers and negotiate/award contracts), ensuring standard processes are followed.
- Focal point for Logistics Execution Support System (LESS Business an SAP based application), ensuring food commodities are properly recorded accurately and in a timely manner the system: follow up on all processes and approvals in LESS.
- Coordinate and monitor the timely receipt and reconciliation of tonnages of food dispatched with supplier invoice and submit for payment with supporting documents.
- Food Inspection Work Orders for food contracts.
- Support suppliers with process improvement.
- Ensure timely pick up of finished products with a goal of 80% against request time of delivery.
- Support relevant units in conducting monthly/quarterly inventory.
- Research, collate and present information in standard formats to enable
- Update, manage and maintain relevant databases and records to ensure the information is accurate, organised, and available for others to access, and supports reporting requirements.
- Support the Sustainable Sourcing Strategy of Specialized Nutritious Food (SNF).
- Support the investment made by WFP Ghana on local food processing companies to produce SNF for WFP.
- Support in the development of a network of potential suppliers for commodities
- Support contribution to the country office priorities on links to smallholder farmers, aggregators, processors, and other value chain actors to agricultural markets via the E-commerce project.
- Maximisation of efficiency through use of effective tools and processes. 16. Perform any other duties as provided from time to time.
Minimum Academic Qualifications
- A minimum of first degree in Logistics/Procurement & Supply Chain/Economics or Business Administration or any other related qualification in Supply Chain
Desired Experiences for Entry into the role:
- Has experience working on procurement activities
- Has Logistics Execution Support System (LESS- which is an SAP based application) experience
- Experience conducting analyses and developing reports
- Experience working with suppliers or other third party on a regular basis
