KHRC provides research and training services both nationally and internationally, and its staff members have diverse expertise. KHRC is situated in the central region of Ghana.
Job Responsibilities
Eligible candidates are encouraged to submit their applications for the Secretary position at Kintampo Health Research Centre, located in the Kintampo North Municipality, Bono-East Region.
- Appointment Type: Full-Time Contract.
- Period: One (1) year (extendable)
Concise Job Overview
He/she will be accountable for promoting communication both inside and outside the organization. Their responsibilities will encompass handling and forwarding phone calls, arranging meetings, and assisting other team members.
Main Duties
- Responsibilities of a receptionist
- Responding to inquiries through phone and email.
- Keep a system for recording files, contacts, and the employee directory.
- Draft letters, reports, memos, minutes of meetings, etc.
- Manage office supplies and equipment, and start orders to restock inventory.
- Support team members in managing schedules, appointments, and daily operational activities.
- Arrange and disseminate communications, notes, etc.
- Keep departmental documents/records.
- Help with presentations and reports.
- Arrange conference calls and record messages and minutes during meetings.
- Carry out administrative duties, such as organizing files and making photocopies.
- Carry out additional tasks assigned by KHRC.
Required Skills or Experience
- BA Secretaryship and Management Studies diploma from a valid and accredited institution.
Skills and Expertise
- Three years of administrative experience
- Proficient understanding of common software applications (e.g. Microsoft Office Suite).
- Capability to operate autonomously.
- Structured and proficient behavior.
- Outstanding abilities in both written and spoken communication.
- Proficiency in managing and prioritizing a schedule of events.
- Collaboration abilities
- Focus on specifics
- Assurance.
- Skills in organization and time management.
- The capability to act proactively and employ initiative.
- The capability to juggle multiple tasks and organize time effectively.
