The Role: Client Care Lead

We are looking for a dynamic and organized Client Care Lead to serve as the friendly face and capable voice of our company. This role sits at the intersection of customer service, data management, and marketing communications. You will handle incoming inquiries, resolve complaints with empathy and efficiency, and ensure every client interaction leaves a positive impression. Beyond direct client engagement, you will also play a key role in maintaining our client databases, supporting our social media presence, and even contributing to marketing content creation. In short, you will be the glue that holds our client experience together.

This position requires someone who can juggle multiple responsibilities without missing a beat. You will move from answering phones to updating spreadsheets to crafting a social media post, all before lunch. If you thrive on variety and genuinely enjoy helping people, this role will feel less like work and more like a natural fit.

Key Responsibilities

As our new Client Care Lead, you will take ownership of the entire client journey. Specifically, you will:

Manage Client Data and Research

  • Maintain accurate and up-to-date client databases to support business operations.
  • Input lead data diligently and ensure our records remain clean and organized.
  • Assist with basic market research tasks to identify trends and opportunities.

Oversee Marketing Communications

  • Oversee our social media presence, including content creation and audience engagement.
  • Assist in developing advertising materials that resonate with our target market.
  • Create compelling marketing content that promotes our products and services effectively.
  • Analyze campaign performance metrics and make data-driven decisions to improve results.
  • Implement marketing strategies in collaboration with internal teams.

Handle Client Inquiries and Complaints

  • Greet and assist customers warmly, whether in person, over the phone, or via email.
  • Handle customer inquiries promptly and provide accurate information about our products and services.
  • Resolve customer complaints with patience, empathy, and a problem-solving mindset.
  • Identify recurring customer issues and bring them to management’s attention for improvement.

Maintain Accurate Records

  • Record and document all client interactions accurately in our Customer Relationship Management (CRM) system.
  • Ensure proper documentation for follow-up purposes and quality assurance.
  • Follow all communication procedures, guidelines, and company policies consistently.

Drive Client Engagement

  • Collect customer feedback regularly and analyze the data to identify areas for improvement.
  • Analyze customer data to understand preferences and tailor our approach accordingly.
  • Follow up with prospective clients to encourage registration and onboarding with Toptech.
  • Then, promote our products and services proactively to drive business growth.

Collaborate Across Teams

  • Collaborate effectively with other teams to ensure seamless client experiences.
  • Support colleagues with client-related information and insights as needed.

Required Skills or Experience

Qualifications

  • A degree in Marketing, Administration, or Communications is required. However, we will also consider candidates who can provide proof of practical experience in lieu of formal qualifications.
  • Prior experience in customer service is essential.
  • Applicants must live within a reasonable distance from our La Office to ensure punctuality and reliability.

Core Skills

  • Strong interpersonal skills with the ability to connect with people from all walks of life.
  • Excellent communication skills, both verbal and written, with a professional demeanor.
  • Proficiency in Microsoft 365, particularly Excel and PowerPoint, for data management and presentations.
  • Familiarity with social media platforms and the ability to communicate effectively through these channels.
  • Strong organizational skills with the ability to multitask and manage time effectively.
  • Keen attention to detail to ensure accuracy in data entry and documentation.
  • The ability to handle stressful situations gracefully and manage customer expectations effectively.
  • A personable and hospitable nature that puts clients at ease from the first interaction.

Working Hours

  • Weekdays: 7:00 am to 5:30 pm
  • Saturdays: 8:00 am to 12:00 noon
