POSITION: Project Secretary

Kintampo Health Research Centre is seeking a Project Secretary to join our team in the Bono East Region. If you possess good knowledge of Microsoft Suite, exceptional written and verbal communication skills, and the ability to work independently, this one year renewable contract offers the opportunity to answer enquiries, prepare letters and reports, oversee office equipment, assist with presentations, and perform other administrative duties.

As a Project Secretary, you will not simply answer phones; you will facilitate communications within and outside the institution, support staff with daily operational tasks, and maintain the record keeping systems that keep our research running smoothly.

Your Mission

You will take responsibility for receptionist duties, answering and redirecting phone calls, and responding to enquiries via phone and email. Your role includes maintaining record keeping systems for files, contacts, and the employee directory, preparing letters, reports, memoranda, and meeting minutes, overseeing office equipment and supplies, assisting staff with coordination of schedules and appointments, organizing and distributing messages, maintaining departmental files, assisting with presentations and reports, setting up conference calls, taking messages and minutes during meetings, and performing general administrative tasks.

Key Responsibilities

Your role spans reception, record keeping, document preparation, office management, schedule coordination, meeting support, and general administration. Here is what you will tackle:

Reception & Communication

  • You will answer and redirect phone calls, responding to enquiries via phone and email.
  • Organizing and distributing messages and memos to appropriate staff.

Record Keeping

  • You will maintain record keeping systems for files, contacts, and the employee directory.
  • Maintaining departmental files and records for easy retrieval.

Document Preparation

  • You will prepare letters, reports, memoranda, and meeting minutes.
  • Assisting with presentations and reports for internal and external audiences.

Office Management

  • You will oversee office equipment and supplies, initiating requisitions to replenish inventory.
  • Ensuring printers, copiers, and other equipment remain functional.

Schedule Coordination

  • You will assist staff members with coordination of schedules, appointments, and daily operational tasks.
  • Then, maintaining and prioritizing calendars of activities.

Meeting Support

  • You will set up conference calls and take messages and minutes during meetings.
  • Also, ensuring meeting rooms are prepared and technology works.

General Administration

  • You will perform administrative tasks including filing and photocopying.
  • Performing other assigned duties by KHRC.

What You Bring to the Role

Qualification

  • A BA in Secretaryship and Management Studies from a recognized, accredited institution.

Experience

  • Three years of clerical experience, demonstrating your ability to handle office tasks independently.

Technical Skills

  • Good knowledge of standard software packages, especially Microsoft Suite including Word, Excel, and Outlook.
  • Ability to maintain electronic and physical filing systems.

Personal Attributes

  • Ability to work independently, taking initiative without constant supervision.
  • Organized and professional conduct, representing KHRC positively.
  • Exceptional written and verbal communication skills for drafting letters and answering enquiries.
  • Team working skills to collaborate with multidisciplinary staff.
