POSITION: Administrative Secretary
Duties and Responsibilities
- Organizing schedules, appointments, and meetings for supervisors or managers to guarantee seamless daily functioning.
- Tasked with handling phone calls, replying to emails, and directing questions to the correct individual or department.
- Managing filing systems, arranging and refreshing records to guarantee straightforward access and retrieval of information.
- Carrying out a range of administrative duties including data input, expense documentation, and procurement of office materials.
- Organizing travel plans for supervisors or managers, managing reservations for flights, accommodations, and transport.
- Aiding in the preparation of documents, checking for errors, and revising reports, presentations, and communications.
- Serving as a liaison for employees, clients, vendors, and other external entities to foster positive relationships.
- Aiding in the organization and implementation of events and projects, offering assistance to different team members and departments.
- Keeping the office tidy, orderly, and visually appealing for employees and guests.
- Constantly enhancing administrative workflows and practices to boost efficiency and productivity in the office.
Skills and Qualifications
- Outstanding skills in both verbal and written communication
- Privacy and secrecy
- HND or diploma
- Proficiency in MS Office and English
- Exceptional organizational and time management abilities
- Capability to handle multiple tasks and prioritize tasks for the day
