ROLE: Quotation & Order Management specialist 

This position serves as the in-house contact with the customer. This role is responsible for performing all necessary activities to ensure client satisfaction. Primary activities include evaluating customer inquiries and their compatibility with Metso: Outotec parts and services, coordinating an appropriate quotation taking price/margin/delivery into account, following up on proposals, supporting outside sales efforts, entering sales orders, coordinating orders, and managing order backlogs until completion.

Job Duties And Responsibilities

  • When accepting purchase orders and responding to questions for pricing, delivery, product, and technical information, provide great customer service to end users and sales managers.
  • Process customer questions, proposals, and orders accurately and on time, as well as create clean quotations and sales orders.
  • Create customer quotations based on application requirements, specs, expenses, and pricing criteria.
  • Accumulates part costs using computer system history, questions to the purchasing and/or production estimating departments, and cost estimates based on previous experience with similar or the same type of parts.
  • Assesses vendor quotations and shop cost estimates.
  • Set selling prices for parts based on past performance, customer evaluation, market evaluation, and corporate objective margin.
  • Responsible for expediting all proposal activities through daily communication with Purchasing, Engineering, Production, Shipping, and Accounting to satisfy the customer’s requirements.
  • Manages the order input of customer purchase orders and provides necessary backup information to all other departments involved in order execution.
  • Establish and maintain a positive company image within the territory by offering great customer service, a professional demeanour, and current product knowledge.
  • Participate in the development of pricing strategies and client discussions.
  • Work with sales and product support teams to resolve order-related difficulties, discrepancies, and customer concerns.
  • Accountable for managing the order backlog of assigned customers and territories, as well as collaborating with other departments to ensure that orders are delivered to clients on time.
  • Demonstrate cooperative teamwork within the solution group and team.
  • Excellent client relations skills, teamwork abilities, mechanical aptitude, and the ability to work in a fast-paced environment are required for this position.
  • Improve the efficiency of on-time deliveries.
  • Demonstrates dependability and punctuality.
  • Observes safety laws and shows concern for safety.
  • Demonstrates a dedication to quality ethics while focusing on achieving the requirements and expectations of both internal and external customers.
  • Travel (both domestic and foreign) may be necessary as needed.

Other responsibilities:

  • Customer inquiries are handled courteously and efficiently. Respond to customers within the same day.
  • Responsible for managing the open backlog of quotations and orders over their entire life cycle.
  • Responsible for expediting orders and providing feedback to customers.
  • Responsible for invoicing documentation as needed.
  • Support Specialist Order Execution when asked and when the workload and inquiry rate in the Order Execution team are high.
  • Managing inquiries, quotes, sales orders, and customer claims.
  • Implements Metso-compliant quality assurance and control documentation: Outotec provides quality standards and procedures.
  • Use telephones and other voice-to-voice platforms, for example. Teams will contact consumers and service global operations teams to obtain updates and confirmations, liaise on issues, and proactively generate an exceptional customer experience.
  • Actively attend weekly team meetings and updates. Coordinate a meeting with Site Account Managers to review impending shutdowns, events, and the customer experience.
  • Cooperates with Global Delivery for support.
  • Manage customer interactions on a daily basis.
  • Engage in continual training to become skilled and resourceful.

Required education level, skills, and competencies:

  • HND or Degree in Supply Chain Management or Logistics Management.
  • 3–5 years of experience in a similar sector.
  • Capable of collaborating with external and internal stakeholders.
  • Proven customer service skills with a customer satisfaction focus
  • Proven accuracy in SAP ERP, PDM, and CRM systems, as well as a thorough understanding of quoting and order fulfillment procedures
  • Working understanding of verbal and written English; proficient in the local language.
  • Basic understanding of the applicable technology.
