Main Objective of the Role
To manage all payroll paperwork utilizing the existing payroll system and to perform office tasks safely and effectively. This involves guaranteeing the prompt processing of payments owed to the Company’s employees in adherence to Company policies and procedures, preserving the accuracy of data entered into the HR Information System, and ensuring that management reports are generated and disseminated on time.
Main Tasks and Responsibilities
- Handle monthly and weekly payrolls, including various currencies, by accurately gathering and processing timesheet information from departments, ensuring adherence to company policies, procedures, and legal obligations.
- Generate and execute payroll reports and payslips, making sure that proper deductions are processed correctly, promptly, and in accordance with company policies and procedures.
- Compile and disseminate reports to Finance Managers and other relevant parties according to the timetable.
- Finish all month-end activities such as journal updates, reconciliations, and entries for liabilities.
- Generate reports, circulate, and verify that payments owed to external entities (e.g., Pension/Retirement Savings Plans) are processed correctly and punctually.
- Respond to payroll inquiries from staff, supervisors, and external organizations promptly and accurately, adhering to company guidelines.
- Finalize necessary year-end payroll procedures for designated locations.
- Guarantee the precision and reliability of data entered into the HR Information System, including supervising contributions from various HR sites.
- Deliver regular management reports and address on-demand data requests while maintaining precision and prompt processing.
- Perform audits on both manual and electronic data to verify adherence to procedures and uniformity in application, ensuring strong data integrity is upheld.
- Assist the Manager with various projects and tasks as needed.
- Manage recruitment and selection within the responsibility area, in line with the workforce plan and operational business requirements. Offer direction to managers regarding CV assessments, optimal interview techniques, and legal obligations.
- Verify the accuracy of employment documents such as agreements, contracts, and handbooks before distribution. Confirm that work permits, visas, and other immigration paperwork are secured. Collaborate with International HR on transfers for expats or commuters.
- Keep HR Information System data current and precise. Generate reports and supply data to managers to help with decision-making.
Expertise and Credentials
- Over 4 years of prior work experience in a Payroll and/or HR setting.
- Bachelor’s degree in Human Resources, Business Management, or related area
- Payroll/HR certification
- Outstanding analytical abilities
- Skilled in Microsoft Office programs:
- Excel (comprising pivot tables and functions)
- PowerPoint
- Term
- Capability to generate intricate spreadsheet graphs and polished presentations.
