1. Driver

The Role

The role, under the oversight of the Line Manager, assists the department/directorate with daily operations to ensure the smooth operation of the vehicle fleet.

Essential Roles

The functions of the Driver will encompass the following:

  • Conduct the routine preventive maintenance inspections prior to operating a specific vehicle for the first time each day.
  • Track the use of fuel and lubricants by vehicles to guarantee their effective utilization.
  • Promptly request fuel/lubricant usage data for planning and assessment needs.
  • Verify that drivers accurately fill out vehicle logbooks.
  • Perform any additional tasks that may be given.

Required Qualifications & Experience

  • West African School Certificate or an equivalent qualification, along with a formal driver’s training certificate and a current driver’s license/certification for the operation of the assigned vehicle.
  • 2 years of experience in driving, ideally for an international organization, working with different types and models of vehicles.
  • Familiarity with traffic laws and regulations, along with the capability to read and understand traffic signs and documents, including safety guidelines and operating and maintenance procedures.
  • Understanding of defensive driving techniques, driver etiquette and courtesies, familiarization with local routes and conditions, and protocols pertinent to the safety and security of passengers during bad weather, terrorist incidents, vehicle collisions, and criminal or violent events.
  • Understanding of fundamental vehicle upkeep (e.g., routine inspection) and the capability to evaluate vehicles for mechanical suitability and minor repairs.

2. Office Manager / Receptionist

The Role

With the direction and close oversight of the Line Manager, the Office Manager/Receptionist is essential for the efficient functioning of the office. From greeting guests to answering calls, arranging meetings, managing the calendar of his/her superior, composing letters, and completing paperwork. He/She must be readily available and responsive to the competing requests from both internal and external stakeholders.

Main Responsibilities

The responsibilities of the Office Manager/Receptionist will encompass the following:

  • Oversee the supervisor’s calendar and appointments, arrange and manage meetings, greet and receive visitors, make phone calls, and assess incoming calls to determine their significance and whether to respond or direct them to the supervisor.
  • Schedule meetings, handle, prepare, and follow up on administrative correspondence. Reserve meeting rooms and supply the office with necessary materials.
  • Establish a system for logging incoming and outgoing mail and facilitate e-archiving and e-filing of documents through ECM software for convenient retrieval, oversee document management (both incoming and outgoing, letter filing), and ensure tracking of documents sent for approval or signature.
  • The position demands proficiency in spoken and written communication in two of the official languages of ECOWAS (English, French & Portuguese).
  • Familiarity with MS Office, ECM, and additional Ecolink software when applicable.
  • Show proficiency in word processing in English, French, and/or Portuguese.
