The Role: Supply Chain Officer

We are looking for a proactive and detail-oriented Supply Chain Officer to take ownership of the procurement, inventory control, and logistics operations specifically for our Trading & Supply Division. This position requires a unique blend of skills. The ideal candidate will possess a strong background in both finance and supply chain management. Your primary goal will be to ensure the efficient flow of goods, maintain accurate and transparent record keeping, and drive cost-effective supply chain strategies that directly impact our bottom line.

You will report directly to the Supply Chain Manager and will serve as a key link between our suppliers, our internal teams, and our customers. Your work will ensure that our operations run smoothly, our stock is optimized, and our financial records related to the supply chain are impeccable.

Key Responsibilities

Your daily activities will be varied and integral to our success. Specifically, you will:

Procurement Management

  • Identify and thoroughly evaluate potential suppliers for equipment, materials, and goods.
  • Prepare accurate purchase orders and negotiate favorable terms and pricing with suppliers.
  • Monitor supplier performance continuously and maintain strong, productive vendor relationships.
  • Ensure the timely procurement of all goods to meet current business requirements and project deadlines.

Inventory Control

  • Maintain accurate and up-to-date inventory records using advanced computerized systems.
  • Conduct regular stock counts and perform detailed reconciliations to ensure physical stock matches system data.
  • Monitor stock levels vigilantly and initiate replenishment orders to prevent shortages or overstocking.
  • Implement inventory optimization strategies to reduce carrying costs and improve turnover.
  • Manage warehouse operations effectively to ensure proper storage and handling of all goods.

Financial Management

  • Track all procurement costs diligently and prepare comprehensive budget reports.
  • Process supplier invoices promptly and verify pricing accuracy against purchase orders.
  • Maintain meticulous financial records for all supply chain-related transactions.
  • Prepare cost analysis reports to identify potential savings opportunities and areas for improvement.
  • Reconcile inventory values regularly with the general accounting records.

Logistics Coordination

  • Coordinate delivery schedules effectively with both suppliers and customers.
  • Arrange transportation and ensure all deliveries occur in a timely and efficient manner.
  • Track shipments proactively and resolve any delivery issues or delays that may arise.
  • Manage import and export documentation when applicable to facilitate international trade.

Documentation and Reporting

  • Prepare regular supply chain performance reports for management review.
  • Maintain comprehensive procurement and inventory documentation for audit purposes.
  • Generate monthly stock reports and provide insightful analysis on trends and metrics.
  • Track key supply chain metrics and Key Performance Indicators (KPIs) to measure success.

Required Skills or Experience

Qualifications

  • Education: A Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Finance, or a closely related field.
  • Experience: A minimum of three years of proven experience in supply chain, procurement, or logistics operations.
  • Financial Acumen: A strong finance or accounting background with direct experience in inventory management is essential.
  • Systems Knowledge: Hands-on experience with ERP systems or dedicated inventory management software.

Skills and Competencies

  • Strong analytical and numerical skills with the ability to interpret complex data.
  • Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUPs, and complex formulas.
  • Excellent negotiation and vendor management skills to secure the best value.
  • Strong organizational and time management abilities to handle multiple priorities.
  • Unwavering attention to detail and a commitment to accuracy in all tasks.
  • Good communication and interpersonal skills for effective collaboration.
  • Proven problem-solving and decision-making capabilities in a fast-paced environment.
  • Solid knowledge of procurement best practices and supply chain principles.
  • A working understanding of import and export procedures will be a distinct advantage.
