The Opportunity
In the role of Finance and Administration Assistant, you will carry out accounting, procurement, and administrative tasks to support all project activities while adhering to applicable Department of State/Office of Foreign Assistance (OFA) and Abt Global guidelines and procedures. Reporting to the Finance and Administration Manager, you will help the finance team maintain current transactions and financial records for the accounts.
Key Duties
- Help the Accountant ensure the prompt submission of the ROV following Abt Global procedures and policies.
- Scan and upload all financial records into Abt’s online accounting program, QuickBooks.
- Aids the Accountant in creating payment vouchers and related checks.
- Helps the Accountant in examining invoices and expense reports prior to payment and contacting vendors and employees to collect supporting documentation.
- Aids the Accountant with QuickBooks data entry, bank reconciliations, and monthly reporting tasks.
- Helps with internet banking activities.
- Helps facilitate mobile money payment transactions to vendors, employees, and seasonal workers.
- Execute various clerical tasks, including but not limited to photocopying, scanning, filing, and mailing.
- Help employees with the procedure of filling out Timesheets.
- Coordinate travel arrangements for project personnel going beyond their area or for international guests as required.
- Keep both physical and digital copies of a project archive, containing contract and subcontract documents, client approvals, personnel records, consultant files, travel documentation, procurement records, project deliverable files, meeting minutes, and project reports.
- Additional tasks as assigned by the manager.
Required Skills or Experience
- Bachelor’s degree and 2 years of related work experience
Minimum Requirements
- High School Diploma plus four years of related experience, or an Associate’s Degree plus two years of related experience.
Preferred Qualification
- Bachelor’s Degree in Accounting, Finance, Management, Business, or a related area (preferred).
- Two years of applicable work experience and keen attention to detail are strongly desired.
- Proficiency in accounting and generating vouchers, along with reconciling accounts.
- Skilled in utilizing QuickBooks
- Strong understanding of mobile payment systems for money transactions.
- Previous background in inventory control and office administration
- Familiarity and proficiency with Windows, Word, Excel, PowerPoint, along with additional software for data processing and graphic presentation.
- The capability to evaluate issues and create resolutions.
- Exceptional interpersonal communication abilities and outstanding organizational abilities.
- Preference for individuals with experience related to Department of State/ Office of Foreign Assistance-funded initiatives or other international development experience.
- Proficiency in English is preferred, along with a functional understanding of the local language in the project area.
