POSITION: Service Planner

This role supports critical service planning activities that help financial institutions and retailers maintain reliable self service technology.

Role Overview

The Service Planner plays an important role within the Customer Care Center team. This position manages the processing and execution of hardware related orders using a structured deployment process. In addition, the planner acts as a communication bridge between internal teams and field engineers to ensure service requests move forward smoothly.

Furthermore, the role requires strong organizational skills because the planner coordinates multiple service tasks at the same time. Effective communication and quick decision making therefore become essential for success in this position.

Core Responsibilities

The Service Planner will manage several operational and coordination tasks that keep deployment activities on schedule. Major responsibilities include:

  • Manage daily team communications through email and phone channels
  • Create and update service incidents while providing clear status updates to stakeholders
  • Maintain continuous communication with Customer Engineers regarding incident assignments and progress
  • Serve as a key contact point for the Customer Care Center team
  • Receive customer service requests and assign them to appropriate team members

Additional responsibilities also include handling deployment and service related inquiries such as:

  • Updates for deployment sites including installation progress, logistics, technical concerns, and training arrangements
  • Escalations from project stakeholders during rollout activities
  • Requests related to post launch system configurations and ongoing site support

Beyond service coordination, the planner will also maintain accurate records within the deployment management system. These records include status changes, communication logs, timelines, and customer contact information.

Deployment Communication and Scheduling

Another important aspect of the role involves managing communication with customers regarding deployment schedules. The Service Planner will therefore coordinate key project timelines such as:

  • Opening dates for deployment sites
  • Installation schedules
  • Training sessions for system users
  • Shipping timelines for logistics and equipment delivery

Accurate scheduling helps project teams stay aligned while also ensuring customers receive timely updates throughout the deployment process.

Additional Operational Duties

To maintain strong workflow management, the Service Planner will also:

  • Archive deployment related email communication in the Microsoft Outlook deployment mailbox
  • Send initial deployment updates and process information to customers through email or phone
  • Collaborate with internal teams across multiple departments
  • Support colleagues during busy operational periods to maintain service quality

Since service environments often change quickly, the role requires the ability to switch smoothly between routine tasks and urgent operational priorities.

Education and Experience Requirements

Candidates should meet the following qualifications:

  • Bachelor’s degree preferred
  • At least one year of experience in project administration or a similar coordination role
  • Strong knowledge of Microsoft Outlook, Microsoft Excel, and Microsoft Word
  • Experience with ServiceNow considered an advantage
