POSITION: Receptionist
Job Summary
Zonda Tec Ghana Limited is a leader in the assembling, sales, and servicing of commercial vehicles in Ghana. We are a dynamic, growing company with a strong reputation for quality and service. Consequently, we are looking for a polished, organized, and customer-focused Receptionist to manage our front desk and reception area.
You will be the first point of contact for clients, visitors, and staff. Your warm welcome and professional demeanor will shape the company’s customer experience from the very first moment. You will handle inquiries, manage administrative tasks, and ensure the smooth running of our office entrance. If you have at least four years of reception experience, excellent communication skills, and a genuine passion for helping people, we want to meet you.
Core Responsibilities
As our Receptionist, you will own the front desk experience. You will greet and welcome everyone who walks through our doors. Also, you will manage phone calls, schedule appointments, and direct customers to the right departments. You will also handle automobile-specific duties, taking initial details from service customers and providing basic information about our vehicle models. Your professionalism and efficiency will keep our front office running smoothly.
Your core responsibilities will include:
Front Desk Management & Customer Service
- Greet and Welcome Everyone: You will welcome clients, visitors, and staff with a warm, professional, and friendly demeanor. You will set a positive tone for every interaction.
- Manage the Reception Area: You will keep the reception area clean, tidy, and presentable at all times. You will create a welcoming environment.
- Handle Phone Calls Professionally: You will answer, screen, and forward incoming calls politely and efficiently. You will be the voice of Zonda Tec.
- Respond to Inquiries: You will answer questions about company services including sales, servicing, and parts via phone, email, and in person.
- Notify Staff of Visitor Arrivals: You will ensure the right people know when their guests have arrived.
Administrative Support
- Manage Appointment Scheduling: You will coordinate the calendar for service advisors and sales executives. You will ensure appointments run smoothly.
- Receive and Sort Mail: You will handle daily mail, packages, and courier deliveries. You will distribute them promptly.
- Maintain Office Security: You will follow safety procedures and control access via the reception desk. You will issue visitor badges and monitor entry.
- Assist with Clerical Duties: You will help with photocopying, scanning, and filing documents as needed.
- Monitor Office Supplies: You will keep track of stationery and brochures at reception. You will alert the admin team when supplies need replenishing.
Automobile-Specific Duties
- Direct Walk-In Customers: You will guide customers to the appropriate department: Sales, Service Department, or Spare Parts.
- Log Service Details: You will take initial information from customers bringing in vehicles for service. You will enter details into the system under the guidance of the Service Advisor.
- Provide Basic Product Information: You will share basic details about Zonda Tec’s vehicle models and services with potential customers while they wait.
Communication & Coordination
- Relay Messages Accurately: You will ensure staff receive messages promptly and accurately. You will never miss a communication.
- Liaise with Security Team: You will coordinate with security regarding parking and visitor access. You will ensure a smooth arrival experience.
- Assist with Events: You will help coordinate company events or meetings held at the office. You will support your team when needed.
Qualifications & Experience
We are looking for a polished, organized, and tech-savvy professional with a genuine passion for customer service. Experience in an automotive or showroom environment is a plus, but your attitude and skills matter most.
To excel in this role, you will need:
Education & Experience
- A Diploma or Degree in Secretarial Administration, Business Administration, or a related field.
- At least 4 years of proven experience as a receptionist, front desk officer, or in a customer service role.
- Experience in an automotive or showroom environment is a strong advantage but not mandatory.
Skills & Competencies
- Professional Appearance: You must be well-groomed and presentable at all times. You represent the brand.
- Communication: Excellent verbal and written communication skills in English. Proficiency in a local language such as Twi, Ga, Ewe, or Hausa is a strong advantage.
- Tech Savvy: Basic computer skills including Microsoft Office Suite (Word, Excel, Outlook). Experience with a CRM system is a plus.
- Customer Focus: A genuine passion for helping people and resolving inquiries with patience and care.
- Organization: Strong multitasking abilities and exceptional attention to detail.
- Punctuality: Reliable with a strong sense of time management. You arrive early and stay organized.
- Attitude: Friendly, calm under pressure, and a natural team player.

- Professional and welcoming demeanor consistently observed by management and clients.
- Zero complaints regarding phone etiquette or customer handling.
