POSITION: Administrative Assistant
Job Description
Liberty Financial is seeking a proactive and organized Administrative Assistant to join our team. This position is central to ensuring smooth daily office operations and providing essential support across all departments. You will manage a diverse range of clerical, coordination, and document handling tasks, acting as a vital hub for internal and external communication.
Primary Duties and Responsibilities
Your role encompasses several key operational areas critical to office efficiency.
Clerical and Office Support
- Answer, direct, and manage all incoming phone calls, emails, and general correspondence.
- Schedule and coordinate meetings, appointments, and complex travel arrangements for staff.
- Maintain organized and efficient filing systems, both digital and physical.
Document Management and Coordination
- Prepare, edit, and format important letters, reports, and various business documents.
- Handle all incoming and outgoing mail and courier deliveries promptly.
- Order and manage office supplies to ensure the team has the necessary resources.
- Assist in planning and organizing company events and internal activities.
- Ensure the office environment remains tidy, professional, and fully functional.
Data Management and Executive Support
- Maintain accurate databases, contact lists, and company records.
- Update spreadsheets, reports, and internal management systems regularly.
- Provide direct administrative support to executives, managers, and team members.
- Prepare meeting agendas, take detailed minutes, and distribute summaries.
Client and Visitor Relations
- Greet all visitors warmly and provide appropriate assistance.
- Handle general inquiries professionally and direct them to the correct personnel.
Required Skills and Qualifications
- Candidates should possess a minimum of a High School Diploma or an HND/Associate Degree.
- Demonstrate proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Exhibit strong organizational and multitasking abilities in a dynamic environment.
- Possess good written and verbal communication skills.
- Show meticulous attention to detail and a commitment to accuracy.
- Have excellent time management skills to prioritize tasks effectively.
