The Opportunity
We are currently seeking a dedicated Business Support Officer for a full-time, on-site position at our Tamale branch. In this role, you will serve as the operational backbone of the branch. You will provide essential administrative, operational, and business development support to ensure our branch runs smoothly and efficiently. Your work will directly contribute to client satisfaction, revenue tracking, and overall branch performance.
Key Responsibilities
As our Business Support Officer, you will wear many hats. Your daily activities will span client engagement, operational coordination, and administrative support. Specifically, you will:
Client Development and Support:
- Identify Prospects: You will actively support the identification and follow-up of prospective clients to expand our customer base.
- Prepare Proposals: You will assist in preparing accurate quotations, compelling proposals, and clear term sheets for potential clients.
- Maintain Databases: You will keep meticulous client databases and lead trackers to ensure no opportunity slips through the cracks.
- Support Onboarding: You will assist with client onboarding and KYC processes, ensuring all documentation is complete and compliant.
- Follow Up on Contracts: You will diligently follow up on contract execution and renewals to maintain strong client relationships.
Operational Coordination:
- Manage Vehicle Logistics: You will coordinate vehicle deployment and returns, ensuring smooth logistics for our clients.
- Track Utilization: You will monitor vehicle utilization and downtime, providing data to optimize our fleet performance.
- Liaise with Teams: You will act as a liaison between the workshop, logistics teams, and the branch to ensure seamless operations.
- Handle Insurance Matters: You will support the documentation and processing of accident and insurance claims.
Administrative and Reporting Duties:
- Maintain Records: You will keep contract files and records organized and easily accessible.
- Support Invoicing: You will assist with invoice follow-ups to ensure timely payments from clients.
- Prepare Branch Reports: You will compile and prepare branch reports, tracking revenue and payments accurately.
- Handle Inquiries: You will act as the first point of contact for clients, addressing inquiries and resolving complaints professionally.
- Provide KPI Data: You will gather and provide key performance indicator data to support branch management decisions.
- Coordinate Meetings: You will organize and coordinate meetings and visits, ensuring all logistics are handled smoothly.
Required Skills and Experience
To excel in this role, you need a blend of formal education, practical experience, and the right personal attributes. We are looking for candidates who meet the following criteria:
- Educational Background: A minimum of an HND or Diploma in a relevant discipline, such as Business Administration, Marketing, or Finance, is required.
- Professional Experience: You must have 1 to 3 years of experience in a secretarial, administrative, sales, or business development role. This practical experience is essential for hitting the ground running.

Organizational Skills: You need strong planning and organizational skills to manage multiple tasks effectively.
