POSITION: Project Management Officer

Company Overview 

Lively Minds, an acclaimed charity, is recruiting to bolster our ambitious and dynamic Early Childhood Development initiative in Ghana and Uganda.

Primary Tasks and Responsibilities

Project Coordination & Management 

  • Assist the organization by offering direction and insight on best practices in project management, including tools and lessons acquired.
  • Oversee designated projects given by the CEO and Operations Director, guaranteeing efficient planning, implementation, and risk control.
  • Maintain a comprehensive perspective across all projects, recognizing interconnections, risks, and constraints.
  • Gather, evaluate, and present information on project advancement, risks, and effects to upper management and outside stakeholders.
  • Foster collaboration among teams and discussions to address issues, ensuring consistency and effectiveness.

Project Oversight 

  • Make certain that risk management is integrated throughout projects, actively recognizing and addressing risks in collaboration with appropriate teams.
  • Encourage ongoing learning and enhancement by documenting best practices and enabling retrospectives throughout projects.
  • Make sure the appropriate tools and methods are utilized to keep documentation current.

Involvement and Communication with Stakeholders 

  • Modify your communication approach to engage successfully with various stakeholders, ranging from field teams to executive leadership and external collaborators.
  • Provide project updates, risks, and essential insights to senior management and outside stakeholders.
  • Organize meetings and workshops to promote project success and enhance collaboration between teams.
  • Facilitate the transfer of information between teams to enhance understanding of priorities and expectations.

Alternative 

  • Might be requested to stand in for the Operations Director, Country Director (Ghana), or other members of the Senior Management Team at outside events.
  • Assist dynamically with the broader team’s efforts, utilizing skills and expertise to advance Lively Minds’ goals.

Required Skills or Experience

  • Are a skilled communicator who can effectively establish expectations, constructively challenge others, and guarantee accountability.
  • Possess robust risk management abilities and can integrate a proactive strategy for recognizing and reducing risks.
  • Take the initiative in spotting chances to enhance systems and processes.
  • Exhibit strong leadership, capable of guiding and assisting others in adopting best practices.
  • Possess flexibility, enabling effective collaboration with various stakeholders in a range of cultural and operational environments.
  • Are at ease functioning in a dynamic, high-stress setting.

Technical Skills 

Essential: 

  • At least 4 years of experience in project management.
  • Proficient in creating intuitive project management tools and workflows.
  • Solid analytical abilities with a background in gathering and showcasing data to upper management.
  • Capacity to orchestrate several projects, recognize interdependencies, and mitigate risks efficiently.
  • Driven by data, capable of gathering, analyzing, and delivering significant insights that guide decision-making.
  • Expertise in Microsoft 365, encompassing PowerPoint and advanced Excel abilities.
  • Outstanding written and spoken communication abilities in English.
  • Capability to involve and impact stakeholders across all tiers, encompassing field teams and upper management.
  • Proven ability to lead meetings and workshops to ensure project success.

Desired

  • Certification in Professional Project Management or its equivalent (e.g., Prince 2, Six Sigma).
  • Adaptable approach for managing internal/external stakeholders – this entails adjusting your methods to maximize the potential of individuals.
  • Expertise in managing change.
  • Background in aiding intricate, long-lasting initiatives.
  • Experience in creating senior-level communications, including briefing documents and strategic presentations.
  • Familiarity with data analysis tools.
  • Experience in the global south.
  • The individual in this position should be willing to adjust to different cultural environments and working methods.
