Job Title: Senior Executive Assistant

Responsibilities
As the Senior Executive Assistant, you will not just answer phones and schedule meetings. Instead, you will become the backbone of the Director’s office. You will ensure seamless operations, strategic coordination, and flawless execution of administrative functions. You will work closely with front office staff across the region and the VPU.
Here is exactly what you will own:
- Provide Comprehensive Support: You will deliver administrative and organizational support to the Director, ensuring smooth day to day operations.
- Facilitate Communication: You will enable effective communication and coordination within the Front Office. You will optimize efficiency and align efforts across the team.
- Manage the Calendar: You will oversee the Director’s calendar, schedule, and travel arrangements. You will ensure thorough preparation for every meeting, presentation, and event.
- Track the Work Program: You will maintain oversight of the Department’s work program. You will ensure timely delivery of tasks and actions required by the Director and management team. You will update and track the Director’s action list religiously.
- Ensure Quality Control: You will review documents for accuracy and compliance with unit and Bank guidelines. You will assist with editing, formatting, and producing correspondence and reports.
- Manage Incoming Emails: You will proactively handle the Director’s inbox. You will delegate tasks to appropriate staff, track progress, and independently prepare responses to queries when needed.
- Monitor Decisions: You will follow up on management decisions and assignments. You will ensure timely execution and completion, including tracking iPortal deadlines.
- Organize Information: You will retrieve, track, and organize information and documentation for the Director’s office. Nothing will get lost.
- Oversee Projects: You will take charge of special departmental projects and handle ad hoc tasks assigned by the Director.
- Serve as Liaison: You will be the key point of contact for the Director, engaging with external clients, the Department’s management team, HQ colleagues, senior management, other Directors, and Executive Directors. You will handle sensitive matters with professionalism and discretion.
Qualifications and Experience

Your Qualifications:
- Educational Foundation: You hold a Bachelor’s degree combined with a minimum of 5 years of relevant experience.
- Technical Proficiency: You possess advanced knowledge of office productivity tools including MS Office, Excel, PowerPoint, and Outlook.
- Communication Skills: You demonstrate exceptional written and verbal communication skills. Proficiency in both English and French gives you a significant advantage.
- Maturity and Discretion: You have proven maturity, sound judgment, and absolute integrity when managing confidential information.
- Interpersonal Skills: You build effective relationships with a wide range of internal and external stakeholders.
