Job Title: Administrative Assistant (Travel)

The Opportunity
We are seeking a meticulous and organized Administrative Assistant specializing in travel to join our team. Reporting to the Senior Administrative Officer and working closely with the Travel/Protocol Assistant, you will ensure the smooth and efficient management of all travel arrangements for the RAF region. Your role is critical in applying FAO’s rules and policies to guarantee staff receive correct entitlements while securing optimal service and value. This position demands a high level of accuracy, compliance, and customer service within a dynamic international environment.
Key Responsibilities
You will manage the complete travel administration lifecycle for regional personnel. Your core duties will include:
- First, you will provide comprehensive travel assistance, ensuring timely arrangements and full compliance with organizational policies and entitlements.
- You will prepare, draft, and review all correspondence and reports related to travel, recommending process improvements for greater efficiency.
- A primary responsibility involves verifying all visa requirements, health protocols, and necessary insurance coverage for travelers.
- Furthermore, you will monitor contracted travel agents to ensure timely bookings, competitive pricing, and adherence to service agreements.
- You will also liaise with travel initiators to review and validate travel requests regarding itineraries, fare classes, and quotations.
- Additionally, you will process payments for issued tickets and ensure the prompt settlement of all travel-related invoices.
- You will maintain accurate travel data in FAO’s corporate systems and manage a well-organized filing system for all travel documentation.
- You will generate periodic analytical reports on travel expenditures, compliance, and vendor performance for management review.
- Moreover, you will provide clear guidance and support to staff on all travel procedures, documentation, and policy entitlements.
- Finally, you will perform any other related duties as required to support the administrative functions of the office.
Minimum Requirements
- A University degree in Business Administration, Management, Hospitality, Tourism, or a related field.
- At least two years of relevant professional experience in travel administration, financial support, or operational functions, ideally within an international organization or similar structured environment.
- Working knowledge (Level C) of English.
- Must be a national of Ghana or a legal resident with a valid work permit.

- Prior work experience with FAO or another UN agency is a significant advantage.

- An intermediate knowledge (Level B) of French is considered a strong asset.
