POSITION: Office Administrator
Izi Flips Delivery Services is seeking a highly organized and communicative Office Administrator to join our dynamic team. This role is central to ensuring seamless daily operations, coordinating deliveries, and providing exceptional support to both our customers and drivers. You will act as the vital link between the office and the field, managing logistics and maintaining efficient workflow.
Main Responsibilities and Duties
Your role encompasses a wide range of coordination, communication, and administrative tasks critical to our service delivery.
1. Order and Dispatch Coordination
- Receive and process delivery orders from customers via phone, email, and online platforms.
- Accurately enter all order details into the system, including addresses, time windows, and special instructions.
- Assign deliveries to drivers strategically, planning for the most efficient daily routes.
- Prepare and distribute daily delivery manifests and necessary paperwork to all drivers.
2. Customer Communication and Support
- Serve as the primary, friendly point of contact for customer inquiries and order placements
- Proactively track parcels and provide customers with real-time updates on delivery status.
- Handle customer questions, concerns, and special requests professionally and effectively.
- Send out delivery confirmations and manage proof of delivery documentation.
3. Rider and Driver Support and Administration
- Act as the main communication link between the office and drivers on the road.
- Assist drivers with any route challenges or customer issues that arise during their shifts.
- Verify and organize all completed delivery paperwork and sheets when drivers return.
- Support the management of driver schedules and assist with timesheet administration.
4. Record Keeping and General Office Tasks
- Maintain accurate and up-to-date records for all deliveries, invoices, and customer information.
- Prepare daily or weekly operational reports on delivery volumes and performance metrics.
- Handle general office duties, including answering main phone lines, managing office supplies, and maintaining an organized filing system.
Required Skills and Experience
- Ideal candidates will possess a specific blend of soft skills and practical aptitude.
- Skills: Excellent organizational abilities, clear communication, calmness under pressure, problem-solving skills, and a strong team-oriented mindset.
- Tech Savvy: Comfort and proficiency using computers, email, and basic software such as Microsoft Word and Excel.
- Knowledge: Basic understanding of local geography and map reading to assist with efficient routing.
- Mindset: Must be reliable, detail-oriented, and consistently customer-focused.
- While a formal degree is not mandatory, a high school diploma and prior experience in an office or administrative role are highly beneficial.
