Job Duties

  • Manage executive calendars, scheduling, and prioritization of meetings for the Associate Vice President.
  • Prepare correspondence, presentations, and briefing materials for executive-level communication and decision-making.
  • Coordinate meetings, organize materials, and document accurate notes and action items consistently.
  • Track strategic initiatives, key performance indicators, deadlines, and deliverables across departments.
  • Maintain organized documentation systems, dashboards, and confidential executive records securely.
  • Support portfolio-level coordination, including report preparation and cross-unit communication activities.
  • Oversee office communications, including phone calls and shared email accounts, efficiently.
  • Develop templates, reports, and data summaries to improve workflow efficiency and reporting consistency.
  • Assist with compliance documentation, budgeting summaries, and institutional review processes.

Job Requirements

  • Bachelor’s degree in business administration, public administration, or a related discipline.
  • Minimum of one and a half years of administrative or office coordination experience.
  • Strong time-management and organizational skills with the ability to manage competing priorities.
  • Excellent written and verbal communication skills for professional and executive-level interactions.
  • Proficiency in Microsoft Office tools, including Word, Excel, Outlook, and PowerPoint applications.
