POSITION: Office Manager

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a global federal enterprise operating in over 100 countries. In Ghana, we implement the Private Sector and Innovation Promotion (PSInno) programme, which supports growth-oriented SMEs in agro processing and the digital economy. We are currently seeking an organized and proactive Office Manager to ensure the smooth day-to-day operations of our PSInno office in Accra.

Project Overview

The PSInno programme builds on prior private sector initiatives to strengthen SME competitiveness. We enhance access to finance and markets, improve digital skills, and promote innovative business models, thereby contributing to business growth and job creation in Ghana.

Scope of the Role

The Office Manager is central to maintaining efficient administrative and financial operations. You will coordinate tasks, manage stakeholder communication, and support the overall functionality of the Accra office.

Key Tasks and Responsibilities

You will handle a diverse range of operational and coordination duties to support the team.

  • Manage all incoming and outgoing correspondence, facilitating clear dialogue between internal and external stakeholders.
  • Initiate electronic invitations and act as the administrative host for meetings with national and international participants.
  • Coordinate all administrative and logistical aspects for training sessions and events, including registration, venue logistics, and evaluations.
  • Create and maintain a comprehensive and orderly electronic and physical filing system for the office.
  • Coordinate bookkeeping activities, manage petty cash, and handle invoicing processes.
  • Carry out procurement tasks and maintain accurate data relevant for tender processes in designated software.
  • Check invoices, vouchers, and payment instructions, then enter all accounting documents into the appropriate software.
  • Follow up on the monthly account closing and balance, comparing expenditures against budgetary allocations.
  • Coordinate schedules and ensure agreed blocks of time remain clear for planned events and meetings.

Required Qualifications and Experience

  • Candidates must hold a university degree in Business Administration, Office Management, or a closely related field.
  • Possess two to four years of professional experience in a comparable administrative or office management role.
  • Demonstrate excellent working knowledge of ICT and standard computer applications, especially MS Office. Experience with accounting software is a strong asset.
  • Exhibit very good command of the English language with excellent written and oral communication skills.
  • Be highly organized with the ability to multitask effectively and work independently without daily supervision.
  • Show strong time management, a customer service orientation, and the ability to solve problems with a creative, pragmatic approach.
  • Display a willingness to upskill as required by evolving tasks and responsibilities.
