Job Title: Assistant Fleet Coordinator

Consequently, they need a sharp, organized, and proactive Assistant Fleet Coordinator to join their team in Accra.

Responsibilities
As the Assistant Fleet Coordinator, you will not just watch from the office. Instead, you will be hands on. Moreover, you will receive service requests, assign vehicles, track drivers, and ensure every trip runs smoothly. You will also maintain records, oversee maintenance, and enforce safety standards.
Here is exactly what you will own:
Fleet Management Duties
- Dispatch with Precision: You will receive, process, assign, and dispatch service requests. You will match every request to the right driver and the right vehicle.
- Track and Monitor: You will keep a close eye on vehicles and drivers. Consequently, you will ensure timely and accurate execution of every service.
- Maintain Logbooks: You will ensure all trips are logged with accurate opening and closing mileages. Vehicle logbooks will stay current and complete.
- Optimize Resources: You will coordinate and optimize the use of vehicles and drivers for maximum operational efficiency.
- Keep Records: You will maintain and update daily operational records. This includes service calls, vehicle usage, and driver activity.
- Ensure Compliance: You will make sure every operation complies with contracts, regulations, internal policies, and safety standards.
- Oversee Maintenance: You will manage vehicle maintenance schedules and preventive servicing. You will follow up on repairs and ensure every vehicle remains roadworthy.
- Inspect Vehicles: You will inspect vehicles before delivery to clients. You will confirm that all accessories and documentation are in place.
- Promote Cleanliness: You will ensure the cleanliness, security, and proper day to day maintenance of all fleet vehicles.
- Generate Reports: You will produce required reports and provide guidance and training to drivers as needed.
Client User and Drivers Management
- Enforce Standards: You will ensure drivers comply with the internal Driver’s Code of Conduct, Health Safety and Environment rules, and Road Traffic Regulations.
Skills and Experience
Leasafric needs someone who combines organizational talent with a proactive mindset. Also, you must be able to handle pressure and keep your cool when things get busy.
Your Qualifications:
- Educational Foundation: You hold a minimum of an HND or Diploma in a relevant discipline.
- Experience: You have between 0 and 4 years of hands on experience in fleet management. If you are just starting out but have the right attitude, they want to hear from you.
- Planning Skills: You possess strong planning and organizational skills. You can look ahead and anticipate needs.
- Time Management: You manage your time effectively. You know what to do and when to do it.
- Proactive Attitude: You take initiative. You do not wait for instructions; you see what needs doing and you do it.
- Stress Tolerance: You can handle pressure and tight deadlines. When things heat up, you stay focused.
- Assertiveness: You have an appropriately assertive manner. You can deal with clients and drivers firmly but fairly.
- Integrity: You understand that integrity and confidentiality are absolutely key in this role. You handle sensitive information with care.
- Teamwork: You work well with people. You build relationships and foster cooperation.
- Tech Savvy: Familiarity with word processing and spreadsheet applications gives you an edge. You can work with basic office tools.
