POSITION: Office Assistant

If so, Project Maji wants to hear from you. We are currently seeking a dedicated Office Assistant to join our growing team in Accra, Ghana.

About Project Maji

Project Maji is not just another nonprofit; we are a pioneering Safe Water Enterprise (SWE). Our mission is laser-focused on one critical goal: making safe drinking water accessible to populations in hard-to-reach areas across sub-Saharan Africa. Instead of relying on outdated infrastructure, we develop and deploy innovative, fit-for-purpose solar-powered water solutions. These systems are specifically designed to thrive in the world’s most remote rural communities.

Since our founding in 2015, our impact has been substantial. We have successfully empowered more than 300,000 individuals across Kenya, Ghana, and Uganda. This achievement is powered by our network of over 450 solar-powered water access points, which have dispensed millions of liters of clean, safe water. In Ghana, our operations are currently focused on the Ahafo, Central, Eastern, and Volta regions. With our work expanding, we need a talented Office Assistant to ensure our administrative functions run smoothly and support our continued growth.

The Opportunity

We are looking for a proactive and organized Office Assistant to become the backbone of our Ghana office operations. In this role, you will be the central hub for communication and documentation, ensuring that our field teams and leadership are aligned. You will play a vital part in supporting our community engagement and project implementation strategies. Your work will directly contribute to the efficiency and effectiveness of our mission to deliver safe water.

Key Responsibilities

As our Office Assistant, you will handle a diverse range of tasks that require precision, initiative, and strong communication skills. Your primary responsibilities will include:

  • Document Management: You will meticulously manage all official company documents. This involves organizing, storing, and retrieving documents to ensure easy access and compliance.
  • Project Filing: You will be responsible for the systematic filing of all project-related documents. Keeping these records orderly is crucial for reporting and project tracking.
  • Data Upkeep: You will update key files and databases, specifically those relating to community development. Accurate data is the foundation of our impact assessment.
  • Financial Support: You will assist in preparing financial documents. This role supports our finance team by organizing receipts, preparing basic reports, and ensuring documentation is accurate.
  • Report Writing: You will contribute to writing and compiling reports. Your ability to synthesize information clearly will help communicate our progress to stakeholders.
  • Coordination: You will act as a critical liaison, coordinating effectively between our field staff and the Project Director. Clear communication ensures that field realities inform strategic decisions.
  • Additional Duties: You will perform any other duties assigned by the Project Director to support the overall success of the team.

Required Skills & Experience

To succeed in this role, you must be a highly organized individual with a background in business administration and a proven track record in a similar position. Specifically, we are looking for:

  • Education: An HND or BSc in Business Management, Administration, or a related field.
  • Experience: A minimum of two years of experience in a similar administrative role.
  • Core Skills: Strong organizational skills with an exceptional attention to detail. You must have excellent verbal and written communication abilities in English.
  • Technical Proficiency: You must be proficient in the Microsoft Office Suite, including Word, Excel, and PowerPoint. Furthermore, familiarity with general office management software is required.
  • Professional Attributes: The ideal candidate can multitask and manage their time effectively within a fast-paced environment. You must maintain a high level of professionalism and exhibit a consistently positive attitude. Moreover, you should be comfortable working both independently on assigned tasks and collaboratively as part of a dedicated team.
