POSITION: Director of Finance And Operations

Job Summary

This job involves managing the financial systems and processes of Total Family Health Organisation to help the organization grow and make a profit.

Responsibilities

Leadership

  • Get the team united around the company’s mission and values, and provide support to help them meet their goals.
  • Set a good example by living out the company’s values and encouraging team members to do the same, while holding them accountable if they don’t.

Finance Management

  • Review and share financial reports quickly and accurately. Report monthly and yearly financial statements and prepare financial materials for donors.
  • Manage cash flow and financial forecasts. Keep track of budgets and financial details for programs.
  • Provide financial analysis to the Executive Director, Board, and donors, as needed.
  • Monitor project spending to identify any issues and ensure effective management.
  • Prepare budgets for proposals and make necessary changes to the annual budget.
  • Create monthly budget reports and flag any management concerns.
  • Update and implement necessary business and accounting policies.
  • Communicate important financial matters to the Board of Directors.
  • Work with the Executive Director on the annual budget process, review all financial plans, and keep senior management updated on the organization’s financial health.

Operations Management

  • Ensure strong internal controls are in place.
  • Supervise finance, procurement, and warehouse staff.
  • Make sure duties are appropriately separated in all purchase and payment processes.
  • Oversee purchasing of goods and services following company policies.
  • Oversee warehouse functions and ensure they follow distribution practices.
  • Manage warehouse systems to optimize space and efficiency.
  • Review and approve purchase orders to ensure proper procedures are followed.
  • Supervise grant and contract administration.

Other Responsibilities: Take on any additional tasks assigned by the Executive Director or the Board.

Qualifications

Candidates must have:

  • A professional certification (ACCA or ICA).
  • A Bachelor’s or Master’s degree in Business Administration, Finance, Accounting, or a related field.
  • At least 10 years of experience in a senior finance or accounting role.

Knowledge, Skills, and Behaviour

Knowledge

  • Strong understanding of financial reporting standards and compliance, especially related to USAID.
  • Familiarity with Total Family Health Organisation and its values is important.
  • Knowledge of the Companies Act 2019 is a plus.

Skills

  • Financial Skills: Strong knowledge of accounting principles and financial analysis. –
  • Leadership and Management: Ability to lead teams in finance, procurement, and warehousing.
  • Communication: Can effectively communicate with staff and represent the organization publicly. Good negotiation and conflict management skills.
  • Policy Implementation: Skills in designing and implementing financial strategies and policies.
  • Organization and Time Management: Ability to prioritize tasks and delegate effectively. Careful attention to detail.
  • Analytical Skills: Ability to analyze data and make strategic decisions to manage risks and costs.
  • Tech Skills: Proficient in Microsoft 365 Suite (Word, Excel, Outlook, etc.)
  • Strategic Thinking: Align financial and operational strategies with long-term goals.
  • Compliance and Risk Management: Ensure adherence to financial regulations and handle operational risks.
  • Interpersonal Skills: Build and maintain strong relationships within the organization.
  • Adaptability: Able to respond quickly to changes in the environment.
