The U.S. Embassy in Accra, Ghana is looking for qualified candidates for the role of Secretary.
Position Overview
The incumbent is responsible for providing administrative and clerical support to the Supervisory General Services Officer (SGSO) as well as all teams within the General Services Office (GSO). Additionally, this role includes acting as a sub-cashier, managing an impress fund of local currency up to $2,500, and supporting various GSO services. Supervision is primarily provided by the SGSO, and in their absence, the Assistant General Services Officer (AGSO) may oversee the position. Occasionally, an LE Staff Supervisor might be designated to monitor the work of the GSO Administrative Assistant by the SGSO or AGSO.
This position serves as the main point of contact for customer service inquiries related to GSO activities and functions as the office manager for the GSO section. Responsibilities also involve preparing attendance records for GSO personnel, organizing meetings, delivering customer service, drafting correspondence and materials (such as Management Notices, Diplomatic Notes, Letters of Invitation, etc.) for the approval of GSOs, and distributing relevant information and guidance to the embassy community.
Qualifications and Evaluations
Requirements:
Experience:
- A minimum of two years in secretarial and clerical roles within an international organization is required.
Job Knowledge:
- Must possess a solid understanding of secretarial and administrative functions, including record-keeping, bookkeeping, and verifying petty cash transaction receipts.
Education Requirements:
- Completion of secondary education is required, supplemented by two years of post-secondary education or college training in secretaryship or management.
Evaluations:
- Language Proficiency: Good working knowledge of English (spoken, written, and reading) is necessary. (Language skills will be tested.)
- Skills and Abilities: Proficiency in common computer software (Word, Excel, PowerPoint, Access) is essential. The ability to use DOS recommended applications and typing at a speed of 40 words per minute is required. Strong interpersonal skills and the ability to work collaboratively in a team setting are also necessary. (Computer skills will be reviewed.)

- The pay scale will be confirmed in the conditional offer letter issued by the HR Office.
