Job Title: Administrative Executive
Duties and Obligations
- Take on the role of the executives’ main point of contact with internal and external clients.
- Keep a daily electronic journal, set up meetings and appointments, and send out reminders when necessary;
- Keep a master corporate calendar with all meetings, company-wide events, holidays, and vacations.
- Quickly and professionally handle requests, comments, and questions
- Set up travel, hotels, and meals for executives as needed.
- Take down dictation and meeting minutes, enter notes correctly, and send them out.
- Check the office supply levels and reorder when needed.
- Keep good relationships with suppliers and keep track of prices to get the best deals on goods and services.
- Make reports, presentations, and briefs that are of professional quality.
- Set up and use a good filing and documentation system for both paper and digital records.
- Give tasks to other people in the group as needed.
Skills or Experience Needed
- Full knowledge of the systems and procedures for running an office
- Simple math and bookkeeping skills
- English-language skills
- Planning and time management skills that are second to none
- Ability to stay calm and on task when under a lot of pressure
- Current with office technology and computer software, such as Microsoft Office
- Ability to do more than one thing at once and organize daily tasks
- High level of written and verbal communication skills
- Personal and private information should be treated with care.
