Procurement Assistant
In Ghana, Jhpiego will support the Government of Ghana to control and mitigate the spread of the novel coronavirus. A significant area of focus for our work is accelerating and strengthening the technical and operational capacity of local healthcare workers to reduce the spread of infection, provide quality case management and allow for the safe maintenance routine essential services.
The Procurement Assistant will assist in the procurement and administrative support for several COVID-19 response projects being implemented at the national, regional, district and primary health care level.
Duties and Responsibilities
- Ensure that all procurements are done in line with Jhpiego and donor rules and regulations
- Support team leads with the development of procurement plans as well as periodic updates of the plan
- Assist in solicitation of quotations and proposals
- Assist in processing of payments and keep an updated electronic file of payment documentation
- Develop plans for purchasing equipment, services and supplies
- Assist in financial analysis of quotations and bids for procurement committee meetings
- Follow up on delivery of items and ensure that the products and supplies are of high quality and required specifications
- Create, maintain and update a database of all suppliers and their qualifications, resp
- Support preparation of documentation for procurement committee meeting including coordination of bids opening, assist technical person with technical evaluation, etc.
- Perform any other duties that may be assigned from time to time.
Required Skills or Experience
- First degree in business administration, accounting, procurement or related field preferred
- Good knowledge and understanding of USG procurement processes, policy, and systems including experience working with USAID programs
- Three (3) years previous experience in procurement officer or related area
Required Abilities/Skills
- Good IT skills (Word, PowerPoint, Outlook, and Excel)
- Ability to negotiate, establish, and administer contracts
- Good verbal and written communication skills
- Ability to multitask, prioritize, and manage time efficiently
- Accurate and precise attention to detail
- Ability to work well with staff at all levels
- Goal-oriented, organized team player
