POSITION:Â Event Coordinator

Job Summary:Â
The Event Coordinator at Nyaniba Collective will plan and organize events for the company. They will make sure each event meets what the client wants and fits with the company’s image. This job needs strong organizing skills, attention to detail, and the ability to handle many tasks quickly while keeping customers happy. The Event Coordinator will work with clients, vendors, and team members to plan enjoyable and smooth events that show the company’s dedication to high-quality service.
Main Duties
Planning and Managing Events:Â
- Work together with clients to understand what they need, what they want to achieve, and their favourite choices for the event.
- Make clear plans for the event, including schedules, costs, choosing a location, food, decorations, entertainment, and other important details.
- Work with suppliers (like food providers, decorators, entertainers, and transport companies) to arrange services for the event.
- Watch over the planning, running, and cleanup of events to make sure everything is ready and works well.
- Be the main person for clients during the planning and running of the event.
Client Relations:Â
- Working with and helping customers.
- Create and keep good connections with clients, making sure you understand and meet what they need and expect.
- Give great customer service by sharing helpful ideas and suggestions that match what the clients want and need.
- Quickly and politely listen to clients’ questions during events to make sure everything runs smoothly.
Managing Money and Expenses:Â
- Plan and handle event budgets, making sure all parts of the event fit within the money available.
- Talk to suppliers to make deals that are good for the company while keeping a good balance between quality and price.
- Keep an eye on spending and give regular updates to clients and managers, making changes when needed to stay on budget.
Working with vendors and suppliers:Â
- Find and work with trustworthy vendors and suppliers, like caterers, audio-visual companies, transport services, and entertainment providers.
- Make sure suppliers finish their work on time, deliver good services, and follow the agreements.
- Supervise the setup and takedown of vendors to make sure they follow the company’s rules and meet event requirements.
Logistics and On-Site Management:Â
- Managing the movement of goods and overseeing operations at a specific location.
- Organize all the details for the event, like transportation, where guests will stay, and any special needs they have.
- Supervise staff and volunteers at the location, give them tasks, and make sure everything goes as planned.
- Manage event sign-ups, keep track of the guest list, and help guests during the event.
- Make sure to follow health and safety rules, especially when managing big crowds or public events.
Checking and Sharing Results of an Event:Â
- After each event, review how it went to see what worked well and what could be better.
- Collect feedback from clients and make reports to show to management, pointing out successes and chances for future events.
- Watch and check how events are going to make future planning and execution better.
Required Skills or Experience Requirements
- At least 3–4 years of experience in planning events, working in hospitality, or a similar field, ideally in a hotel or event space.
- A degree in Hospitality Management, Event Planning, Public Relations, or something similar is preferred.
Project Management:Â
- Good at handling many projects at the same time while paying close attention to details.
Communication:Â
- Great at writing and speaking, able to work well with clients, suppliers, and team members.
Technology Skills:Â
- Good at using event management software, Microsoft Office programs, and other digital tools like social media and customer management systems.
- Great at organizing tasks, paying close attention to details, and managing private information carefully.
