POSITION: Finance and Administration Officer
Ubora Institute, a Pan-African non-profit organization based in Accra, is recruiting a competent and trustworthy Finance and Administration Officer. Incorporated in Ghana, our mission is to empower health systems across Africa through quality improvement science and policy engagement. This onsite role reports directly to the Operations Director and is critical for ensuring robust financial management and efficient administrative operations in compliance with all donor and statutory requirements.
Role Summary
You will assist the Operations Director and the BFCC Director in managing the organization’s finances, administration, and support services. This position demands strong financial expertise, exceptional organizational skills, and the ability to supervise support staff while upholding the highest standards of accountability and operational efficiency.
Key Responsibilities
Your duties will span financial oversight, administrative coordination, and supportive management functions.
Finance and Accounting
- Assist in preparing and managing organizational and donor budgets, forecasts, and cash flow plans.
- Maintain precise financial records compliant with donor and statutory regulations.
- Support the preparation of monthly, quarterly, and annual financial reports.
- Record all financial transactions accurately in QuickBooks accounting software.
- Prepare monthly foreign currency schedules and Withholding Tax (WHT) schedules.
- Ensure timely filing and payment of all statutory deductions, including PAYE, SSNIT, and Tier 2 Pension payments.
- Manage the organization’s petty cash with proper documentation and controls.
- Support external audit coordination and the implementation of audit recommendations.
- Liaise with banks, donors, auditors, and regulatory authorities like GRA and SSNIT on behalf of the Operations Director.
Administration and Operations
- Assist in the day-to-day oversight of administrative and office operations.
- Support procurement processes for office supplies and services per organizational policy.
- Help oversee transport and fleet management, including vehicle maintenance.
- Maintain updated property and asset registers and inventories.
- Assist in supervising support staff such as drivers, cleaners, and security personnel.
- Ensure proper physical and electronic filing and record-keeping systems.
- Support HR administration, including preparation of contracts and staff records.
Management and Other Functions
- Assist in reviewing and improving financial and administrative policies.
- Support project teams with financial planning and budget monitoring.
- Provide guidance to staff on financial and administrative procedures.
Required Qualifications and Experience
- Candidates must hold a Bachelor’s degree in Finance, Accounting, Business Administration, or a related field. A part professional qualification (CPA, ACCA, CIMA) is a strong advantage.
- Possess a minimum of five years of relevant work experience, preferably within an NGO or donor-funded environment.
- Have proven experience using QuickBooks or similar accounting software.
- Demonstrate hands-on experience with payroll systems and statutory compliance.
- Show strong knowledge of financial management, administration, and internal controls.
- Exhibit a high level of integrity, attention to detail, and excellent problem-solving abilities.
- Be capable of working independently under pressure with strong multitasking and communication skills.
