POSITION: Program Assistant
The Program Assistant supports the PROPEL Health project by providing administrative, logistical, and technical support to technical staff, ensuring successful project execution. The Program Assistant reports to the Project Implementation and MEL Associate, but will also assist other technical personnel in the office who are in charge of guiding other aspects of PROPEL Health’s work when necessary.
Primary duties and responsibilities:
- Help to establish and monitor project plans, timetables, labour hours, budgets, and expenses.
- Collaborate closely with technical personnel to plan and organize meetings, seminars, and trainings relating to PROPEL Health’s operations, such as generating invitation lists and letters and tracking participant RSVPs.
- Assist with the preparation of technical materials, such as estimating workshop quantities and putting together information packs.
- Assist technical personnel in preparing technical material for meetings, such as drafting agendas and presentations, as well as assist in meeting/activity coordination and implementation.
- Record meeting minutes for weekly and biweekly team meetings, as well as any technical meetings as needed.
- Distribute these minutes to relevant staff in a timely way and capture follow-up or outstanding topics for future meetings.
- Contribute to project documentation by taking activity notes (notes to file), interviewing technical staff, and submitting to HQ for reporting and documenting project successes.
- Initiate and coordinate inputs for bi-weekly activity trackers according to the timetable, and ensure the team calendar is up-to-date.
- The Director will verify that all program activities are accurate.
- Help with activity planning (e.g., timeframes, tasks) and contribute to the development of budgets for programming activities. Work with finance personnel on procurement and spending predictions.
- Assist in preparing creative briefs, workshop/meeting agendas, and activity reports.
- Develop a project activity management calendar for every project goal and target.
- Identifying areas of accomplishment and assisting with crafting success stories and nuggets.
- Represent PROPEL Health in meetings with partners and stakeholders as needed.
- Collaborate with the PROPEL Health Technical Leads to provide feedback on draft quarterly, semi-annual, and yearly activity reports, as well as success stories that highlight PROPEL Health Ghana’s efforts
- Stakeholder Engagement: Establish and maintain strong and healthy relationships with USAID’s implementing partners (IPs) and other key stakeholders, such as the Ghana Health Service and other governmental institutions
- Other responsibilities include representing PROPEL Health in meetings with partners and stakeholders as needed.
Required Qualifications:
Knowledge:
- Familiarity with USAID and other donors’ administrative, managerial, and reporting procedures and systems
- Experience with the most recent project management trends and best practices
- Devoted to improving Ghanaian health.
Skills:
- Excellent communication and collaboration abilities – the capacity to work effectively with other partners and produce results.
- Excellent leadership and people management skills – connect the team around common goals; inspire, encourage, and coach to achieve success.

- Microsoft 365 Suite (Word, Excel, Outlook, Planner, PowerPoint, Teams, OneDrive, and SharePoint).
- Information gathering and monitoring – the function necessitates data collection to make informed decisions.
- Adaptability – the ability to anticipate and respond quickly to changing dynamics at the local and international levels.
- Cultural sensitivity, as well as an awareness of political and ethical problems relevant to the project’s work.
