About You and the Position 

The Facilities lead is crucial for ensuring that our distribution center operations are effectively coordinated and operate smoothly. You will be crucial in guaranteeing the efficient functioning of our facilities and purchasing procedures at our distribution center. Furthermore, you will manage facility operations, which encompass maintenance, security, and space usage, along with administration, procurement, and overseeing external contracts and suppliers. You will plan, organize, and carry out tasks related to facilities, administration, and procurement.

This role will be located in Kete Krachi, Ghana.

What You Will Do

  • Organize and carry out operational duties: Be the most dynamic planner and implementer of essential activities that ensure operations function effectively; logistics and transportation, accommodation, upkeep, and more. This will necessitate your ability to communicate exceptionally well, be extremely adaptable, and act as a supportive team player, since there is significant interaction with various stakeholders.
  • Organize and carry out administrative duties: Your role would involve drafting communications, including memos, emails, invoices, reports, and other local correspondence.
  • You will additionally oversee the scheduling of staff and various meetings, along with organizing appointments when needed. As needed, you will also be tasked with gathering and sending out emails and action items from team members and other meetings.
  • You will be tasked with creating and executing facility management policies and procedures to guarantee operational effectiveness and adherence to safety standards.
  • Facilitate and assist visitors: You will serve as the main contact for all guests arriving at and departing from the center. You will be in charge of guaranteeing a seamless and top-notch hospitality experience for every visitor arriving at the center.
  • Facilitate and Arrange Stakeholder Meetings: You will be accountable for collaborating with country and global leadership to facilitate and arrange stakeholder meetings.
  • Documentation Management: You will oversee the timely submission and proper archiving of correspondence between stakeholders and country leadership. You will need to create and revise various documents, including letters, reports, and instructional materials.
  • Oversee facilities support teams and contractors: You will be accountable for guaranteeing a top-notch work performance of the facilities support teams, including janitors and drivers.

What You Will Contribute

  • A minimum of 2 years of experience in facility management or similar positions, ideally within logistics or technology sectors.
  • Solid grasp of facility management concepts, procurement best practices, and supply chain operations.
  • Proven track record in leading and overseeing teams.
  • Outstanding abilities in communication, negotiation, and resolving issues.
  • Capability to perform efficiently in a rapid, dynamic setting and work together cross-departmentally with both internal and external parties to reach business goals.
  • Robust abilities in data collection, analysis, and reporting. Capability to operate effectively with computer systems (Google Suite, Microsoft Office Suite, etc.).
  • Must possess the legal authorization to work in Ghana.
  • Licensed driver capable of operating a manual transmission vehicle.
  • Demonstrated skill in managing vendor partnerships, negotiating agreements, and spearheading cost-reduction efforts is an advantage.
