POSITION: Procurement Officer
ABOUT THE ROLE:
This position entails communicating with suppliers, writing purchase orders, importing, processing, and checking orders, contacting internal customers as needed, and assisting the Procurement Supervisor.
Functional Duties and Responsibilities
- Analyze all department requisitions for items that will be manufactured locally or imported, considering project timelines.
- Source goods and services from trustworthy and appropriate suppliers while adhering to ethical and responsible sourcing practices that are consistent with corporate policies.
- Create suitable purchase orders for suppliers, including purchasing analysis and item identification, ensuring that all purchases comply with statutory and company requirements.
- Ensure that orders adhere to supplier agreements and contracts, and report any non-conformance.
- Manage the external client order acknowledgment procedure with the right tools.
- Prepare order tracking plans for each purchase.
- Resolve pricing disparities and disagreements with suppliers.
- Contact internal customers when needed to make order adjustments or clarifications.
- Manage, assess, and manage the procurement process for all orders until they are completed.
- Interface with the Manager to organize and prioritize purchasing tasks.
- Coordinate with Finance on order payments and regularizing order transactions.
- Arrange for appropriate forms of delivery of acquired items, taking into account cost-effective techniques.
- Manage supplier relationships to ensure mutual satisfaction. Involve other stakeholders as needed.
- Develop and manage the company’s supplier database following all terms of the contract.
- Provides management with feedback on supplier performance and suggests new and discovered suppliers for management to consider.
- Jointly conduct supplier audits
- Coordinate product testing and give over goods to appropriate stakeholders.
- Carry out any additional duties that may be assigned.
- Must maintain the Quality Management System (QMS) and work per the roles outlined in the Departmental Manual.
Quality Management System Responsibilities
- Effectively contribute to delivering and achieving the department’s management objectives.
- HEALTH, SAFETY, AND ENVIRONMENTAL RESPONSIBILITY
- Understand the value of a good OHS and EMS culture.
- Promote continuous development in OHS and EMS activities.
- Identify and report the hazards.
Required Skill or Experience
EDUCATIONAL REQUIREMENTS AND EXPERIENCE
- HND or Bachelor’s Degree in Purchasing and Supply, Supply Chain Management, or a closely related discipline.
- A minimum of two (2) years of experience in a similar position.
SKILLS AND ABILITIES
- Understanding of procurement processes, policies, and procedures.
- Demonstrates strong attention to detail and the ability to manage many projects concurrently to fulfill deadlines.
- Proficient with Microsoft Office products, including Excel.
- Excellent time management and organizing skills.
- Basic mathematics knowledge.
