POSITION: Executive Assistant

As a Member of Our Team You Will:

  • Coordinate and arrange both internal and external meetings/events, covering materials, catering, logistics, and collaborating with IT for technology/Audio-Video arrangements.
  • Effectively handle calendars and schedules to make the best use of the leader’s time.
  • Organize extensive travel both domestically and internationally, incorporating Personal Protective Equipment (PPE) and additional safety measures as necessary.
  • Finalize the executive’s expense reports and reconcile the credit card statements.
  • Create purchase requests and payment requests utilizing our invoicing system.
  • Collect and distribute mail for the team, determining what should be brought to the executive’s attention.
  • Assistance with the executive’s personal business.
  • Carry out copying, collating, binding, packaging, and distributing standard and other documents as requested by executives and their team.
  • Act as support for other Executive Assistants when required.
  • Organize, implement, and assist with special projects, board gatherings, leadership sessions, and corporate events.

Your Checklist of Training, Skills, and Experience:

Official Qualifications (inclusive of Professional Certifications): 

  • National Diploma or equivalent Bachelor’s Degree in Office Administration, Business Administration, or a similar area.

Additional Knowledge:

  • Management of administration.
  • Planning and managing events.
  • Management of vendors.
  • Essentials of customer support.
  • Expertise in software systems like SAP, Concur, comparable programs, and the Microsoft Office Suite.

Experience: 

  • A minimum of 8 to 10 years of secretarial and administrative experience, including at least 5 years working as a Personal Assistant, Executive Assistant, or Office Manager for a CEO or Managing Director of a medium to large multinational corporation.
  • Having prior experience at a Fortune 500 company will be a significant benefit.

  • Finishes specific procedural activities.

  • Employs practical reasoning to solve issues or seek help.
  • Identifies options through experimentation and mistakes.
  • Enhances job techniques through daily experiences, established procedures, event pattern observations, and experimentation.

Technical Abilities: 

  • Expertise in MS Office Suite and collaboration tools.
  • Skilled expertise in planning, scheduling, and managing calendars.
  • Adept in organizational skills and capable of handling several priorities simultaneously.
  • Skilled Expertise in event management.
  • Expertise in organizing and coordinating travel plans both locally and globally.
  • Skilled Expertise in enhancing customer service experience.
  • Skilled expertise in project management.

Interpersonal Process Abilities: 

  • Self-awareness: Recognize personal behaviors and acknowledge their effect on others, and adjust those behaviors when needed to achieve a positive result for the overall team.
