POSITION: Attendance Specialist / Attendance Clerk
Job Summary
KEDA Ghana Ceramics Company Limited, operating under the Twyford International brand, is a leader in ceramics manufacturing. We deliver world-class tiles to Ghana and West Africa. We are currently seeking a detail-oriented and analytical Attendance Specialist to join our HR team in Takoradi.
This is not a basic data entry role. You will be responsible for managing and maintaining accurate employee attendance data across multiple departments. Also, you will monitor daily records, input and verify data, and ensure strict compliance with company attendance policies. You will reconcile discrepancies, prepare weekly and monthly reports, and support payroll preparation with precise attendance and overtime data. If you have advanced Excel skills and at least one year of experience in data management, we want to hear from you.
Responsibilities
As Attendance Specialist, you will own the integrity of employee attendance data. You will collect, verify, and maintain records from various departments. You will identify discrepancies and coordinate with supervisors to resolve them. Your accurate reporting will directly support payroll and workforce management. You will also help improve data management processes and reporting efficiency over time.
Your core responsibilities will include:
Data Collection & Verification
- Collect Daily Attendance Data: You will gather attendance information from all departments. You will ensure data is complete and accurate before processing.
- Input and Verify Records: You will enter attendance data into the attendance system and internal databases. You will double-check every entry for errors.
- Review Clock-In/Out Records: You will examine time logs, overtime hours, shift schedules, and leave records. You will ensure everything matches actual attendance.
Discrepancy Resolution & Reconciliation
- Identify Abnormalities: You will spot discrepancies in attendance data quickly. You will flag issues before they affect payroll.
- Coordinate with Supervisors: You will work directly with department supervisors to resolve attendance discrepancies. You will ensure records are corrected promptly.
- Reconcile Attendance Data: You will cross-check multiple sources to ensure consistency. You will maintain a single source of truth.
Reporting & Payroll Support
- Prepare Weekly and Monthly Reports: You will create detailed attendance reports using Excel. You will deliver them to HR and management for review.
- Support Payroll Preparation: You will provide accurate attendance and overtime data to the payroll team. You will help ensure employees are paid correctly and on time.
- Monitor Compliance: You will track lateness, absenteeism, and shift attendance. You will identify patterns and escalate concerns as needed.
Documentation & Process Improvement
- Maintain Proper Filing: You will keep attendance-related records organized and accessible. You will ensure documentation meets audit standards.
- Assist in Process Improvement: You will identify opportunities to streamline attendance data management. You will contribute ideas for greater efficiency and accuracy.
Skills & Experience
We are looking for a numbers-oriented professional with strong analytical skills and advanced Excel capabilities. Experience in a manufacturing or factory environment is a significant advantage.
To excel in this role, you will need:
Qualifications & Experience
- A Bachelor’s degree in Accounting, Statistics, Data Management, or a related field.
- Between 1 to 3 years of experience in attendance management, data management, or administrative roles.
- Experience in handling large volumes of data and ensuring data accuracy. You are comfortable with numbers.
- Experience in manufacturing or factory environments is a strong advantage. You understand shift work and industrial settings.
Technical Skills
- Advanced Proficiency in Microsoft Excel: You must be skilled in formulas, data analysis, and report generation. You can turn raw data into actionable insights.
- Strong numerical and analytical skills with high attention to detail. You spot errors others miss.
- Good communication and coordination skills. You can work effectively with multiple departments.
Personal Attributes
- The ability to work independently and manage routine administrative tasks efficiently. You are self-directed.
- High level of integrity and confidentiality. You handle employee information with the utmost discretion.
- Strong organizational skills and the ability to prioritize.
- Proficiency in English for effective communication.
