POSITION: Administrative Secretary

The job duties will be:

  • Putting together reports and other documents for managers by gathering data, doing research, and putting information from different sources together.
  • Setting up meetings, booking travel, and taking care of other administrative tasks for executives within the company.
  • Processing job applications and screening candidates to see if they are qualified before setting up interviews with supervisors or managers
  • Help with all aspects of office management, such as ordering supplies, keeping track of stock, and calling for equipment repairs.
  • Having conversations with customers to answer questions about the company’s products or services
  • Taking notes during meetings, transcribing audio recordings of meetings, or summarizing what was said in meetings in written minutes.
  • Doing office work like filing papers and answering the phone.
  • Putting away paperwork like bills or expense reports
  • Setting up meetings and keeping track of calendars to make sure meetings happen at the right time and place

Functions and duties:

  • Coding invoices, making payment requests and payment orders, screening supporting documents, and checking the data from third parties.
  • Registering other people and their bank information (Legal Entity Form and Bank file). Check-in with the main office
  • Missions and plane ticket payments are taken care of.
  • Costs of representation are being paid back.
  • Reimbursements of costs related to the Residence Register separately from VAT can be recouped under the right suspense accounts.
  • When an asset is bought, link the good receipts to the invoice.

Skills or Experience Needed

  • Diploma/Degree/HND
  • Expertise in working with documents, spreadsheets, and databases.
  • Ability to talk to people inside and outside the company about administrative matters.
  • She is very good at filing, keeping records, and organizing.
  • Knowing how to use printers, photocopiers, scanners, and fax machines is important.
  • Knowledge of how to set up appointments and forward calls.
  • Excellent communication skills both in writing and in person.
  • Exceptional interpersonal skills.
