POSITION: Project Assistant
Job Description

PROJECT DESCRIPTION
The Bicycles for Growth (BFG) project aims to identify tools, approaches, partnerships, and incentives that can successfully improve long-term access to and uptake of appropriate, affordable bicycles in Sub-Saharan Africa, thereby increasing mobility, particularly in rural areas, and contributing to poverty alleviation. The project aims to conduct research, design, development, testing, and piloting, as well as generate new evidence and validate existing theories, in order to improve the availability, reliability, and affordability of fit-for-purpose bicycles that meet the needs and preferences of men, women, boys, and girls, particularly in Sub-Saharan Africa.
Overall Responsibilities
The Project Assistant (PA) is responsible for assisting the Country Manager (CM) in ensuring that project goals, objectives, deliverables, targets, and indicators are met on time and in accordance with contract terms, as well as providing support for some project operations. The PA will promote communication among the project’s senior management team, technical team, country managers, local subcontractors, and partners, as well as support the CM with reporting, scheduling, and activity oversight. This is a dynamic function that responds to project management requirements and particular guidance from the CM.
Specific Duties and Tasks
- Provide strategic guidance to the BFG team regarding activities and planning, including the nature of activities, partners, locations, and other implementation aspects.
- Track project activities against work plans and activity action plans, and ensure that project deliverables are completed on time
- Assist with the creation of periodic and activity-based reports by giving written inputs and feedback, and ensure they are presented to USAID in a professional manner.
- Serve as a liaison with USAID/Washington on non-technical topics, such as submitting deliverables and milestone invoices.
- Participate in weekly Management and Planning team meetings and assist the CM in coordinating meetings, taking minutes, drafting reports, and distribution as directed.
- Coordinate logistics and scheduling for the BFG team’s activities as needed.
- Assist the CM in the programming of short-term technical support, including writing or reviewing individual SOWs, and ensuring that consultants complete assignments and meet requirements as indicated in SOWs.
- Collaborate with the graphic design and communication specialists to assist in the quick expansion of strategic visibility and communication of project activities.
- Participate in the design and documentation of learning briefs, research studies, and case studies.
- Support the recruiting and RFP procedures for Regional and Country Convening Partners, as well as Country Advisory Committees.
- Collaborate with Regional and Country Convening Partners, as well as Country Advisory Committees, to arrange events, advocate, and gather feedback on BFG initiatives.
- Track subcontractor activity and deliverables.
- Ensure that any grants provided comply with the BFG Grants Manual.
- Help organize and facilitate public-facing events, workshops, meetings, and so on.
- Support stakeholder actions for advocacy and other locally led initiatives.
- Coordinate with the Country Manager for administrative needs.
Required Skill or Experience
- A bachelor’s degree is required, with a master’s degree being desirable.
- Requirements: – Strong organizational and administrative skills – Passion for international development – Experience working across cultures and attitudes
- Project management experience for USAID programs is preferred.
- Excellent communication and writing skills.
- Requirements include the ability to operate independently and collaboratively, and familiarity with USAID regulations is preferred.
- Excellent computer skills (PowerPoint, Word, Excel, etc.)
- Fluent English; other languages desirable.
