POSITION: Office Assistant

Position Summary
The Office Assistant will aid in daily activities by carrying out physical office duties, overseeing cleaning personnel, and making sure the office environment is clean, orderly, and operational. This position is essential for sustaining a professional and inviting workplace that conforms to the operational standards of the organization.
KEY DUTIES
Oversight & Management:
- Oversee and organize the daily tasks of the office cleaning staff.
- Make sure cleaning standards are upheld across all spaces, such as offices, restrooms, and common areas.
- Inform the Admin Manager about any problems related to cleaning or maintenance requirements.
Office Upkeep & Manual Duties:
- Help with lifting, relocating, and arranging office furniture, files, and equipment as required.
- Make sure that the meeting rooms and offices are properly set up for meetings and everyday use.
- Assist with minor repair or maintenance tasks or liaise with facility maintenance staff.
Support for Administration:
- Aid in managing letters and cheques, photocopying, organizing files, and performing basic office tasks.
- Keep track of cleaning and office supply inventory; inform management when replenishment is required.
Wellness & Security:
- Make certain that health and safety regulations regarding office cleanliness and hygiene are followed.
- Observe and swiftly tackle dangers like leaks, damaged objects, or blocked exits.
Responsibilities for Safeguarding
- Create a culture of protection throughout all tiers of the program by enforcing the safeguarding policy.
- Serve as a primary resource for assistance, advice, and knowledge on safeguarding to create a secure workplace.
- Accountable for making sure team members receive proper training, assistance, and access to resources concerning issues that are recognized and addressed in line with the safeguarding policy and procedure.
- Adhere to the safeguarding reporting protocol if a reportable incident occurs, and urge others to comply as well.
Required Qualifications and Experience
EXPERIENCE (Comprising sector/industry)
- Minimum of a Senior High School.
- Prior experience in a comparable position is desirable, particularly within a financial or corporate setting.
UNDERSTANDING, ABILITIES & CAPABILITIES
- Fundamental understanding of sanitation and safety procedures.
- In good physical shape and able to lift and transport items of moderate weight.
- Effective communication, organization, and time management abilities.
- Capacity to operate solo and collaboratively within a group.
- Reliable, timely, and professional attitude
