POSITION: Executive Associate

Position Summary
Work location: Accra
The Executive Associate will offer top-level administrative assistance to senior executives to ensure the effective functioning of the leadership team. They will take on a crucial role in organizing daily tasks, promoting communication, and guaranteeing the seamless implementation of executive priorities.
PRIMARY DUTIES
- Schedule Oversight: Managing the daily calendar of the CEO and key executives, encompassing appointments, meetings, and travel plans.
- Administrative Assistance: Help top executives with organizing schedules, managing calendars, coordinating meetings, and arranging travel.
- Communication: Act as an intermediary between senior management and internal/external stakeholders, guaranteeing prompt and professional correspondence with the Board, Bank of Ghana, and company secretaries.
- Document Preparation: Create, review, and revise reports, presentations, and various documents as required for executive meetings and client engagements.
- Project Management: Organize and monitor active projects, ensuring timelines are adhered to and informing leadership on advancements.
- Confidentiality Oversight: Manage sensitive data with care and privacy.
- Client and Vendor Relations: Help in overseeing relationships with clients, vendors, and partners, ensuring that meetings and interactions are arranged and conducted seamlessly.
- Office Management: Assist the executive team with tasks related to the office, such as managing office supplies and promoting operational efficiency.
- Event Coordination: Organize corporate functions, meetings, and conferences, making sure logistics, resources, and communication requirements are met.
- Solving Problems: Foresee requirements, tackle obstacles, and actively seek answers.
Protection Duties
- Create a protective environment at every level of the program by applying the safeguarding policy.
- Serve as a primary resource for assistance, direction, and knowledge on safeguarding to create a secure workplace.
- Accountable for making sure that team members receive proper training, support, and access to resources related to issues that are recognized and addressed according to the safeguarding policy and procedure.
- Adhere to the safeguarding reporting protocol if a reportable incident occurs, and motivate others to follow suit.
Required Qualification or Experience
BACKGROUND (Incorporating sector/industry)
- At least 3 years of experience in an administrative or executive support position, ideally within the banking or financial services industry.
- Familiarity with the banking or financial services sector practices, including operations related to savings and loans.
- Familiarity with tools and systems for project management.
- Proven track record in handling intricate calendars and organizing schedules for top executives.
SKILLS
- Time Management: Strong skills in prioritizing tasks, adhering to deadlines, and efficiently handling a heavy workload.
- Communication: Proficient in verbal and written communication, capable of expressing ideas clearly and professionally at various organizational levels and with clients.
- Confidentiality and Discretion: Capacity to handle sensitive data with care, recognizing the significance of confidentiality in a financial services setting.
- Problem Resolution: The Skill to evaluate circumstances, recognize problems, and offer solutions that are in line with organizational objectives.
- Project Management: Skilled in coordinating and overseeing various projects, monitoring advancement, and guaranteeing that projects are finished on schedule and within their designated scope.
- Technology Skills: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and has experience with project management software (e.g., Asana, Trello) or CRM platforms.
EDUCATIONAL/PROFESSIONAL CREDENTIALS
- Qualification: Bachelor’s Qualification
- Field of Study / Major: Business Administration, Finance, or a similar discipline
