International Water Management Institute Latest Job Posting

The International Water Management Institute (IWMI), a CGIAR Research Center, is looking for a qualified, self-motivated, and energetic person to work as an Administrative Officer – Logistics at its office in Accra, Ghana.

Under the direct supervision of the Administrative Manager, provide the IWMI West Africa Office and its hosted partners with efficient and timely administrative services.

DUTIES AND RESPONSIBILITIES:

  • Be in charge of the transport unit, including keeping an eye on the people who work there.
  • Take care of the Institute’s transportation needs, including scheduling drivers based on requests for transportation.
  • Make sure that IWMI vehicles are maintained, serviced, and fixed on time.
  • Use the vehicle log sheet to make accurate monthly statements and send them to the accountant after they are approved.
  • Keep the file for vehicle maintenance and the file for vehicle registration in good order.
  • Make sure that IWMI vehicles are fueled up on time.
  • Help IWMI International Staff get a license to drive.
  • Plan your trip, including getting tickets, insurance, and a place to stay.
  • Figure out how to get Visas and Residents Permits for visitors.
  • Is in charge of buying goods, equipment, and events for the local area in consultation with the Head Office and in line with the procurement policy.
  • Writes up requests to buy and orders to buy.
  • Handles customs clearance procedures (like letting goods into the country without paying duties).
  • Handles and keeps an eye on the clearance of goods.
  • Keep track of how much electricity and water you use to make sure you use energy and water in a sustainable way.
  • Help with the implementation of plans to save energy.
  • Do safety audits of the whole building every three months and fix any problems you find.
  • They are in charge of keeping the IWMI Ghana offices and infrastructure in good shape.
  • Take care of building repairs and maintenance for the IWMI and all allied services.
  • Make sure that the maintenance unit gets regular reports and that the database is kept up to date.

MINIMUM EDUCATIONAL QUALIFICATIONS AND EXPERIENCE:

  • At least 5 years of experience in the field.
  • A bachelor’s degree in administration or social science from a college or university, or an equivalent degree or training in administration and at least 5 years of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Good understanding of IWMI’s administrative and transport operating policies and procedures.
  • Knowledge of how to work with government agencies
  • Familiar with the MS Office software suite.
  • Worked in a similar International Organization before.
  • Knows how to use the English language well.
  • Show that you have a “whole-of-service” approach and are focused on keeping services of high quality.
  • Ability to work well with other people and communicate effectively.
  • Ability to organize yourself and decide what’s most important.
  • Well-developed administrative skills.
  • Has a lot of honesty.
  • Be able to work on your own and be able to take the initiative.
