How to Get Employment Reference Letters for Canadian Immigration

When you apply to move to Canada, you’ll have to send in a number of documents to back up the information you put in your application. Immigration, Refugees, and Citizenship Canada (IRCC) use these documents to check your information and decide whether or not to accept your application.

If you want to get permanent residence (PR) in Canada through an economic immigration program, your professional experience in or outside of Canada is one of the things that will help your case. To show your work history, you’ll need letters of recommendation from your current and past employers. In this article, we explain how to get employment reference letters for Canadian immigration, including the accepted format for work reference letters and what to do if you can’t get a reference letter from a past employer.

Employment Reference Letter

An employment reference letter, also called a work reference letter, is a piece of paper that confirms the details of your job at a certain company. It is usually given to you when your boss, management, or a person with authority in the human resources (HR) department of your current or previous company asks for it.

As a professional with a lot of experience, you may need work reference letters to prove your work history at many points in your life, such as when you interview for a new job, apply to certain college programs, or try to move to Canada or another country.

Employment Reference letter format for Canadian immigration

Any letters of recommendation from your employer that you send as part of your application for immigration must include the following:

  • Name
  • Name of the employer.
  • The beginning and end dates of your job.
  • Your job title.
  • What you did at your previous company. These must closely match the duties and responsibilities listed in the NOC you chose for your immigration application or Express Entry profile.
  • How many hours you worked there each week and if it was a full-time or part-time job.
  • Your salary and benefits for the year. It’s also good to say how much that is in Canadian dollars (CAD).
  • The name, title, and signature of the person who signed the document. This could be your boss, the head of your department, a member of HR, or someone on the management team of the company.
  • The company’s contact details.

Reference letters for work should be written on the company’s letterhead and signed and stamped. If you’ve held more than one job at a company, each job title must be listed separately, along with the dates, duties, hours worked, and pay information for that job.

How to get letters of recommendation from your previous employers

  • Get the process started early: If you’ve had many jobs, getting letters of recommendation from them can take time. After receiving a PR invitation, you have 30 to 60 days to submit your paperwork, including work recommendations, for Express Entry and PNP. Ask previous employers for letters of recommendation before applying for an ITA.
  • Be transparent and polite: Being polite and telling your current employer about your immigration application and when you plan to move to Canada will help you get a reference letter faster and maintain a good professional relationship. A good reference from a former employer will help you land a job in Canada.
  • Tell your employer what you want in detail: For Canadian immigration applications, the IRCC makes it clear what needs to be in employment reference letters. In your home country, the format for a work reference letter might be different, so be clear with your current and past employers about what you need. You can make the process easier by giving them a sample letter or a template they can use.
  • Set realistic due dates: Make sure you give your employers at least a week to write the letter and send it to you when you ask for one. If you already have your ITA and don’t have much time to gather documents, you can follow up with the authorized person in the organization and politely ask if they can speed up the process.

What to do if your boss won’t write a recommendation?

Immigration requires a letter from a former employer. If you ended your professional relationship with an organization on a bad note or the manager is away, it may be difficult to get these documents within the time limit.

If you can’t get reference letters from one or more of your previous employers, you’ll need to provide other proof of your work history. In these situations, some of the documents you can give are:

  • Paystubs or salary statements from the time you worked for the company.
  • Bank statements that show that the employer in question regularly deposits the pay.
  • Documents that prove your employment history, such as your offer letter, employment contract, joining letter, and resignation or termination letter.
  • Affidavits signed by people you work with at that company.

In your PR application, explain why you couldn’t get an employment reference letter and what documentation you’re sending instead. More information and proof help the visa officer and IRCC believe your employment record is real. Even with perfect paperwork, immigration officials can deny your application.

Will Canadian employers require employment reference letters?

Most Canadian employers require employment reference letters for background checks before hiring candidates. Ask the hiring manager or recruiter about the format for those reference letters.
