Job title: Executive Assistant
JOB SUMMARY
The role primarily provides efficient, professional, and confidential executive support to the MD using a range of management skills, organizational skills, and administrative skills.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
- Firstly, Draft, review and send communications on behalf of company executive(s)
- Secondly, Review, prioritise, and respond to emails.
- Thirdly, Organise documents; maintain records; take notes at meetings and any other administrative tasks.
- Moreover, Organize and prepare for meetings, including gathering documents and attending to the logistics of meetings.
- In addition, Coordinate travel arrangements.
- More so, Prepare, reconcile, and submit expense reports for managerial projects.
- Furthermore, Maintain paper and electronic filing systems.
- Thereafter, Maintain various records and documents for company executive(s)
- Besides that, Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the MD.
- Afterwards, Work with the Executive Team to coordinate the MD’s outreach activities.
- Last but not least, Must be ready to travel inside and outside Accra upon company request.
- Finally, Perform any other tasks as directed to support the daily work of the MD.
COMPETENCIES
Must be:
- Self-motivated and action-oriented team player with excellent communication skills, both written and verbal.
- Professional, service-oriented, and reliable.
- Flexible, Dedicated, and a person of integrity.
- Proficient in knowledge and use of Microsoft Office applications (PowerPoint, Excel, Word).
Job specific
- A strong interest in the name of the industry, with good attention to detail.
- The capacity to combine a high degree of remote working with onsite work.
- Have excellent problem-solving skills and the ability to work under pressure.
Communication
Must have the ability to:
- Provide effective and timely information orally and in writing both upward and downward through the company communication channels. This includes presentation skills.
- Communicate effectively over the phone, in writing, and in person with external stakeholders (i.e.. customers)
- Finally, Develop and nurture relationships
Managerial
Must have the ability to:
- To begin with, Work independently with minimum supervision as . well as within a team, and take initiative
- Then, Plan, highly organized, and prioritize in a fast paced and dynamic environment
- Also, Strong interpersonal and time management skills
- Lastly, High level of integrity – truthful, trustworthy, and reliable.
QUALIFICATIONS
- Minimum of a Bachelor’s degree in Business Administration or related fields
- Minimum of (3) years of experience in business dministration (preferably supporting a senior executive role)
- Experience with industry name is a plus
