POSITION: Finance Business Service & Administrative Officer
Main Purpose:
- Oversee the management of the representative office, supervise corporate services, and advocate for Bayer’s interests in the country with government, institutions, and clients.
- Business services responsibilities for the Bayer representative office in Ghana in close collaboration with the Business services teams located in LE 1917 in Côte d’Ivoire.
- GFI duties, in strong collaboration with the GFI group located in LE 1917 in Côte d’Ivoire.
Main Duties & Responsibilities:
Tasks related to finance:
- In tight collaboration with the GFI team of legal entity LE1917 located in Côte d’Ivoire
- Accountable for the thorough and prompt execution of Accounting Operations with high quality in the realms of General Accounting and Internal Accounting, adhering to the specified division of tasks.
- Enhance the trustworthiness of the books within his/her area of responsibility, enabling certification by outside auditors.
- Gather all pertinent information in Ghana for tax or financial audits, ad hoc analyses, or accounting services conducted by GFI in Côte d’Ivoire for the office representing Ghana.
- Make certain that financial statements are finalized on time by VT consult and submitted to the necessary statutory authorities (Registrar General’s Department and Ghana Revenue Authority).
- Confirm receipt and verify invoices in Ghana. Confirm cost distribution in the General Ledger and continue with the purchasing process alongside the Global Services Network.
- Coordinate with the Sage consultant to enter invoices locally in SAGE and organize them for auditing.
- Oversee the external audit conducted by the Ghana Revenue Authority and SSNIT.
- Uploading invoices and preparing payment request letters, which includes collecting banker’s drafts from the bank: Receiving and tracking Bills and Invoices while entering essential details such as Vendor codes, General ledger codes, allocating costs to different cost centers, withholding taxes when necessary, scanning and uploading through SAP, and referencing the responsible parties.
- Make sure that all payments made in Ghana adhere to the country’s laws to prevent tax penalties.
- Make sure all invoices for Enabling Functions are settled by their due dates.
- Oversee the petty cash operations for Ghana [ecash].
- Yearly inventory assessment using SAP
Business Services responsibilities:
- Cultivate S2P
- Oversee mobility services (credit card, CONCUR, travel)
- Assist with fleet management, including fuel cards.
- Coverage, (Automobile, Medical, Lifespan, etc…)
- Assist Event coordination
- Oversee IT assistance
- Serve as the primary point of contact for site services and associated projects.
- Assist coworkers with the PR/PO procedure. Make sure the “ after the facts”. Purchase orders are recorded as an anomaly.
- Serve as the initial point of contact for VRS for all conversations related to the vehicle fleet.
- In strong collaboration with the business support teams of LE 1917 located in Côte d’Ivoire:
- Facilitate the creation and modification of vendors: Handle supplier requests for the establishment and alteration of customer master records through the designated link.
- Managing Concur’s Front office and Back office: Submitting cash advance requests and accounting for, as well as verifying uploaded physical receipts for final approval.
- Oversee the administration of the representative office, manage corporate services, and advocate for Bayer’s interests in the country with the government, organizations, and clients.
- Make certain that the office setting is well-maintained. Managing and tracking inventory of office supplies while ensuring that office equipment functions correctly.
- Approval letters for Visa needs for visiting colleagues (if necessary)
- Procurement/Replenishing stock for office equipment, stationery, and consumables: Sourcing quotes from potential vendors and choosing the supplier with quality discounts.
- Arrange meetings based on the priorities established by the management.
- Is acknowledged as a dependable and trustworthy point of contact (POC) by clients, vendors, partners, and staff.
- Coordinate with Ghanaian authorities and cross-divisional partners or suppliers (Banks, Multisoft,…).
- Observe Bayer’s and Germany’s operational presence in Ghana.
