POSITION: Administrative & Finance Assistant
Tasked with helping the Country Office Finance Manager in the preparation of financial reports and accounting procedures for the CHANGE project and additional grant projects within the country office. This involves creating monthly reconciliations alongside accounting tasks like managing accounts payable, data entry, assessing travel and purchase requests, general ledger maintenance, validating receipts, vouchers, and financial information, audits, monthly closures, and generating reports with designated accounting software, etc., to attain necessary outcomes.
The Finance and Administrative Assistant is tasked with collaborating with the Office Administrator to obtain invoices for office supplies and equipment, tracking supply consumption, arranging logistics for meetings, workshops, and conferences, and ensuring precise inventory records of all CHANGE Project assets. Responsibilities
This position encompasses, but is not restricted to:
Financial Planning and Budgeting – 30% of Time
- Input, modify, and/or access accounting information and transactions utilizing the QuickBooks/Sage Intacct Accounting software to guarantee precise recording of all financial activities.
- Coordinate with the Finance Officer- CHANGE to assist in internal and external audits of the initiatives and programs.
- Create reconciliations for bank and MoMo, then provide them to COFM for verification.
- Assistance with the creation of the project’s yearly, quarterly, and monthly action plans, which encompass budget, cash flow projections, and variance assessment.
- Assist with the preparation of quarterly utilization, variance, and burn-rate reports.
Cash Flow Administration – 20% of Time
- Make sure that all documents—requests, retirements, invoices, payment records, receipts, bank statements, reconciliations, etc.—are completed correctly according to the donor and CB’s internal policy.
- Guarantees accurate coding of expenses and implements required actions promptly to ensure data quality.
- With assistance from the CO Finance Manager and Finance Officer-CHANGE, collect and coordinate the evaluation of employee travel and other advance fund requests, purchase requests, and provide guidance on fund availability.
- Collect cash refunds from staff, deposit them in the CO project bank account, and provide receipts as needed.
Purchasing & Administrative Assistance – 25% of Time
- Handle payments and paperwork, including invoices, bills, journal vouchers, purchase orders, accounts payable, and more.
- Check the billed items against those ordered and the waybills received, then resolve discrepancies by following up with the vendor and/or other staff.
- Keeping a cheque register and verifying that vendors or service providers confirm receipt for every payment issued.
- Coordinate with the Office Administrator to obtain invoices for the procurement of office supplies and equipment.
- Coordinate logistics for formal meetings, seminars, and conferences under the direction of the Office Administrator.
- Maintain precise inventory logs and track the consumption of all supplies and other stock.
- Monitoring and Reporting for Compliance – 25% of Time
- Collaborate with the Finance Manager and Finance Officer- CHANGE to evaluate employee expenditures.
- Record financial transactions and information to the correct accounts in the Intacct accounting software following the technical instructions from the CO Finance Manager.
- In collaboration with the Finance Officer, create bank reconciliation and monthly financial reports for the country office for evaluation by the CO Finance Manager.
Others: Adhere to all CB guidelines and protocols.
Required Skills or Experience
The perfect candidate has:
Credentials & Background
- Bachelor’s degree in Accounting and Finance, or a comparable accounting credential;
- 2-3 years of progressive experience in accounting and financial management encompassing financial analysis, reporting, and budgeting;
- A minimum of 2 years’ experience using financial software such as Sage Intacct and QuickBooks is beneficial.
- Outstanding verbal and written proficiency in English, capable of effectively and succinctly conveying ideas to diverse audiences;
- Proven skill in managing personal tasks effectively under stress and according to regulations;
- Capacity to handle challenging physical and emotional demands of the work; • Outstanding interpersonal/communication abilities;
- Capability to swiftly understand and implement new system protocols as they are presented;
